Job Description

The Supervisor of Cash Reconciliation leads the team responsible for the accurate, timely posting and reconciliation of payments, adjustments, and denials within the health system's hospital billing system. This role oversees daily cash operations, ensures bank deposits balance to posted cash, and resolves escalated discrepancies across payers, lockbox, and patient payment channels. The Supervisor manages staff performance, workload, and quality; owns month-end cash close and reconciliation reporting; and drives process improvements that reduce unapplied cash, credit balances, and posting errors. The role serves as the primary escalation point for complex posting, reconciliation, and account-level issues.

SPECIFIC SKILLS NEEDED

• Advanced hands-on experience posting and reconciling cash within a hospital billing system (e.g., Epic, Cerner/Oracle Health, Meditech, CPSI, or similar)
• Expert knowledge of ERA/835 files, EOBs, CARC/RARC codes, contractual adjustments, denial codes, and payer remittance processes
• Demonstrated experience with reconciling bank deposits to posted payments, unapplied cash resolution, and credit balance/refund processing
• Proficiency in managing EFT/ERA enrollment with payers and coordinating with third-party payment processing vendors
• Experience managing payment posting from lockbox, EFT/ACH, payment/payer portal, and virtual card payment reconciliation
• Working knowledge of Medicare, Medicaid, and commercial payer refund and overpayment regulations
• Proven ability to lead, coach, and hold staff accountable to productivity and quality standards
• Intermediate to advanced Microsoft Excel skills (pivot tables, lookups, reconciliation templates) for analysis and reporting
• Strong analytical, problem-solving, and written and verbal communication skills, including presenting results to leadership
• Strong organizational and time-management skills with the ability to manage competing daily and month-end deadlines

EDUCATION/EXPERIENCE/TRAINING
Required:
• High school diploma required
• 4-5 years of progressive experience in healthcare cash posting, payment processing, or revenue cycle experience, preferably in a hospital or health system setting
• At least 1-2 years in a lead, senior, or supervisory role, including assigning and prioritizing work, training staff, and monitoring productivity and quality

Preferred:
• Associate or Bachelor's degree in Accounting, Finance, Healthcare Administration, or related field
• Experience with Epic Resolute Hospital Billing and/or Professional Billing, including cash posting work queues (e.g., Unapplied Cash WQ, Credit Balance WQ) and Epic reporting tools
• Prior ownership of month-end cash close and reconciliation reporting for a hospital or health system
• Experience leading staff in a multi-facility or health system environment
• Experience with process improvement methods (e.g., Lean, Six Sigma) or system implementations and upgrades
• Certified Revenue Cycle Representative (CRCR), CRCS, CRCP, or similar HFMA certification
