Job Description

Position Description: The Registrar is responsible for providing oversight and leadership for all institutional enrollment services and records management functions as well as related academic and student support processes, state and federal enrollment reporting, and Banner Student module maintenance and implementation. The Registrar serves as the primary records custodian and thus ensures institutional compliance with the Family Educational Rights and Privacy Act (FERPA).

Position Responsibilities: 40.00% - Responsible for the maintenance and accuracy of all student academic records including, admissions applications, campus and online enrollments, transcript evaluation, enrollment verifications, final grade reporting, grade changes, and graduation applications and evaluations. Produces Dean's and President's lists, ensures prerequisite verification for enrollments as appropriate, and manages course waitlist processes. Oversees the coordination of certification rosters for all credit courses for credit hour funding. Ensures appropriate review of residency documentation and appeals. Reviews all academic clemency appeals and submits qualified applications to the Instructional Office for approval. Manages processes associated with Academic Standing and reviews and makes decisions on Academic Dismissal appeals. Coordinates and trains staff and faculty on enrollment and student records procedures. Maintains Enrollment Services information on the Barton website. 5.00% - Responsible for submitting accurate enrollment reports to the National Student Clearinghouse for all enrolled Barton students. Acts as the liaison for enrollment audits. 5.00% - Performs other duties as needed or assigned. 5.00% - Oversees evaluating and revising all policies and procedures in Enrollment Services and determines office budgetary needs and allocation. Coordinates policies, procedures, and departmental goals in alignment with the College's Strategic Plan. Ensured consistent application of and compliance with all enrollment services procedures across all campus locations. 5.00% - Serves as the Banner Student Module lead, overseeing implementation of system upgrades, enhancements, and new Banner processes. Responsible for testing system functionality and troubleshooting system processes, ensuring the integrity and efficiency of Banner Student operations. Provides oversight for all Banner Student functions including catalog, class scheduling, recruitment, admissions, housing, registration, and academic history, including office coordination of related processes within the content management system (CMS) platform. Coordinate and train staff and faculty on enrollment and student records procedures including Banner software functionality and best practices. Attends training provided by Ellucian annually. 5.00% - Assists the Assistant Registrar with commencement exercises including ordering faculty and student cap and gowns, producing the commencement program, organizing student responsibilities, and maintaining an accurate list of prospective and final graduates. Produces the graduation reports for the Communications Department. 5.00% - Leads the education for and institutional compliance with the Family Educational Rights Protection Act (FERPA). 5.00% - Assists with institutional compliance with international student records and services and immigration issues. Potential services as a DSO (Designated School Official) with the Department of Homeland Security. 5.00% - Coordinates the course scheduling on campus. Responsible for maintaining the Barton County courses in Banner. Serves as the liaison to all campuses for course scheduling and provides resolution for scheduling problems. Office coordination with content management systems (CMS) for course scheduling processes. 5.00% - Responsible for DegreeWorks Scribe task for Barton's degree audit program. 5.00% - Responsible for reviewing and certifying athletic eligibility. 5.00% - Responsible for the Return to Title IV enrollment processing for the Financial Aid Office and reporting to NSLDS. 5.00% - Responsible for Canvas terms and shell creation for eCompanion and hybrid courses at the Barton County campus. Expectations: Maintain the highest level of confidentiality. Demonstrated commitment to the highest ethical standards of professional practice, as well as personal and professional integrity. To demonstrate skill in collaboration across the institution and with all divisions/departments related to student, enrollment, records, and all intersecting processes. To perform job duties in a timely and accurate manner with zero errors, and exceptional customer service. To ensure efficient and accurate processing of all academic documents. To ensure a well-trained and smoothly operating staff in the Enrollment Services department. Knowledge, Skills and Abilities: Experience - Five years to ten years of similar or related experience. Education - A Bachelor's degree.
Interpersonal Skills - A significant level of trust and diplomacy is required, in addition to normal courtesy and tact. Work involves extensive personal contact with others and/or can be of a personal or sensitive nature. Work may involve motivating or influencing others. Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary. Other Skills - Bachelor's degree required. Master's preferred.
Evidence of progressively responsible experience in higher education records and registration.
Excellent analytical, interpersonal, written and oral communication skills.
Excellent computer skills, oriented for detail and accuracy.
Experience with Banner Student Information System and Degree Works software preferred.
Working knowledge of Federal and State regulations related to college record keeping, ability to ensure strict confidential management of records in compliance with the Family Educational and Privacy Act and related college policies.
Physical Requirements: Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds). Regular exposure to favorable conditions such as those found in a normal office or classroom. Wages/Other:

The salaried rate for this position is $68,093.09 to $76,046.36.
