Position Overview
The Sales Coordinator plays a critical role in supporting both the sales and production functions within a structural wood truss manufacturing operation. This position is responsible for coordinating project timelines, managing customer orders, ensuring accurate scheduling of production and deliveries, and serving as a key point of communication between customers, sales representatives, design teams, and the manufacturing floor.
The ideal candidate is highly organized, detail-oriented, and experienced in a fast-paced construction or building materials environment.
Key Responsibilities
Scheduling & Production Coordination
- Develop and maintain production schedules to ensure efficient manufacturing and on-time delivery.
- Coordinate closely with production supervisors to align workflow with capacity and priorities.
- Schedule deliveries in coordination with logistics and dispatch teams.
- Monitor job progress and proactively address potential delays or scheduling conflicts.
- Adjust schedules based on changes in customer demand, production issues, or supply constraints.
Sales & Customer Support
- Assist sales representatives with order entry, quoting, and follow-up communication.
- Serve as a primary point of contact for customers regarding order status, timelines, and changes.
- Review incoming orders for completeness and accuracy, including truss specifications, delivery requirements, and job details.
- Coordinate with design teams to ensure timely completion of truss layouts and approvals.
- Maintain strong customer relationships by providing timely, professional service.
Order & Data Management
- Coordinate job orders within internal systems (ERP, MRP, or industry-specific software such as MiTek.)
- Maintain accurate records of customer orders, delivery dates, and production status.
- Generate reports related to scheduling, order backlog, and production timelines.
- Ensure proper documentation is maintained for all projects.
Cross-Functional Communication
- Act as a liaison between sales, design, production, and delivery teams to ensure seamless project execution.
- Participate in production meetings and provide updates on job priorities and deadlines.
- Communicate changes, delays, or issues to relevant stakeholders in a timely manner.
Qualifications
Education & Experience
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- 2–5 years of experience in scheduling, sales coordination, or operations in manufacturing, construction, or building materials.
- Experience in truss manufacturing or knowledge of structural components is highly preferred.
Skills & Competencies
- Strong organizational and time management skills with the ability to multi-task.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office (Excel, Outlook, Word); experience with ERP systems preferred.
- Ability to read and interpret construction drawings and specifications (preferred).
- Detail-oriented with strong problem-solving abilities.
- Ability to perform effectively in a deadline-driven, team-oriented environment.
Working Conditions
- Primarily office-based within a manufacturing facility environment.
- Frequent interaction with production floor personnel and outdoor delivery coordination.
- May require occasional overtime based on workload and production demands.
