Position Overview

The Sales Coordinator plays a critical role in supporting both the sales and production functions within a structural wood truss manufacturing operation. This position is responsible for coordinating project timelines, managing customer orders, ensuring accurate scheduling of production and deliveries, and serving as a key point of communication between customers, sales representatives, design teams, and the manufacturing floor.

The ideal candidate is highly organized, detail-oriented, and experienced in a fast-paced construction or building materials environment.

Key Responsibilities

Scheduling & Production Coordination

  • Develop and maintain production schedules to ensure efficient manufacturing and on-time delivery.
  • Coordinate closely with production supervisors to align workflow with capacity and priorities.
  • Schedule deliveries in coordination with logistics and dispatch teams.
  • Monitor job progress and proactively address potential delays or scheduling conflicts.
  • Adjust schedules based on changes in customer demand, production issues, or supply constraints.

Sales & Customer Support

  • Assist sales representatives with order entry, quoting, and follow-up communication.
  • Serve as a primary point of contact for customers regarding order status, timelines, and changes.
  • Review incoming orders for completeness and accuracy, including truss specifications, delivery requirements, and job details.
  • Coordinate with design teams to ensure timely completion of truss layouts and approvals.
  • Maintain strong customer relationships by providing timely, professional service.

Order & Data Management

  • Coordinate job orders within internal systems (ERP, MRP, or industry-specific software such as MiTek.)
  • Maintain accurate records of customer orders, delivery dates, and production status.
  • Generate reports related to scheduling, order backlog, and production timelines.
  • Ensure proper documentation is maintained for all projects.

Cross-Functional Communication

  • Act as a liaison between sales, design, production, and delivery teams to ensure seamless project execution.
  • Participate in production meetings and provide updates on job priorities and deadlines.
  • Communicate changes, delays, or issues to relevant stakeholders in a timely manner.

Qualifications

Education & Experience

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • 2–5 years of experience in scheduling, sales coordination, or operations in manufacturing, construction, or building materials.
  • Experience in truss manufacturing or knowledge of structural components is highly preferred.

Skills & Competencies

  • Strong organizational and time management skills with the ability to multi-task.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office (Excel, Outlook, Word); experience with ERP systems preferred.
  • Ability to read and interpret construction drawings and specifications (preferred).
  • Detail-oriented with strong problem-solving abilities.
  • Ability to perform effectively in a deadline-driven, team-oriented environment.

Working Conditions

  • Primarily office-based within a manufacturing facility environment.
  • Frequent interaction with production floor personnel and outdoor delivery coordination.
  • May require occasional overtime based on workload and production demands.
