Job Description
Position Summary
The Accounts Payable Specialist is responsible for supporting the accounting department through accurate and timely processing of accounts payable functions, vendor management, expense reporting, and monthly close activities. This role plays a key part in maintaining financial accuracy, ensuring compliance with company policies and GAAP standards, and supporting operational efficiency across the organization.
Key Responsibilities
· Maintain accurate vendor records, including compliance documentation and annual reporting requirements.
· Process accounts payable transactions with a high level of accuracy and attention to detail.
· Ensure adherence to company invoice approval and payment procedures.
· Maintain the integrity and accuracy of AP software systems and related data.
· Assist with weekly financial and management reporting.
· Process and reconcile monthly corporate credit card statements.
· Review, audit, and process employee expense reports in accordance with company policy.
· Prepare and audit weekly check runs and electronic payments.
· Reconcile vendor statements and resolve discrepancies in a timely manner.
· Respond professionally and promptly to vendor inquiries.
· Maintain organized and accurate AP files and records.
· Administer 1099 reporting processes and ensure timely year-end filing compliance.
· Monitor and maintain accounts payable aging reports.
· Assist with month-end close activities, including account reconciliations and journal support.
· Support special projects and other accounting initiatives as assigned.

· Strong interpersonal and customer service skills with the ability to build positive relationships across departments and with external vendors.
· Excellent written and verbal communication skills.
· Ability to exercise sound judgment, professionalism, discretion, and confidentiality.
· Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
Experience Requirements
· Minimum of 3–5 years of professional accounting experience required.
· At least one year of full-cycle Accounts Payable experience required.
· Experience with Microsoft Navision and/or Business Central preferred.
· Wine industry experience is a plus.
