About the Role:
- In collaboration with Director Ambulatory Women's Services, the Operations Administrator implements key components of operations for the department. This includes the direction of key strategic objectives related to access, throughput, work flow efficiency, patient experience and key compliance initiatives. Responsible for managing all departmental day to day activities and associated administrative and clinical tasks to promote effective and efficient operations. In collaboration with the Director and Managers, this position oversees all business functions including, but not limited to: patient access, scheduling, revenue cycle operations, performance monitoring and reporting. This position is responsible for all accounts receivable and payable functions. When assigned, serves as the acting Director in the absence of Director.
KEY RESPONSIBILITIES:
- Responsible for maintaining day to day operations of assigned areas.
- Oversees and manages identified activities and initiatives related to strategic aims and objectives for the Ambulatory Women's Services, and partners with leadership team to ensure effective and efficient operations.
- Reviews day to day staffing schedules to ensure alignment with patient volume and performance standards.
- valuates operational needs of assigned areas including, but not limited to, infrastructure needs, staffing metrics and technology needs.
- Manages and processes all accounts receivable and payable functions for the department to ensure accurate invoice coding and timely processing.
- Manages, approves and processes payroll for the department including the reporting of employee attendance concerns in accordance with hospital policy.
- Ensures ongoing focus of practice on key strategic initiatives and goals.
- Through the creation and management of operational dashboards the administrator will standardize operational activities across all locations.
- Ensures ongoing focus and attention to departmental key objectives of experience, safety, access and employee engagement.
- Reports on all departmental KPIs including overseeing all revenue cycle teams to ensure departmental goals are met on an annual basis.
- In partnership with Department Director this role leads development of policies, procedures, and quality targets to ensure effective and efficient service, quality patient care, and compliance with standards of the hospital.
- Acts as one of the leaders in the Ambulatory Women's Services.
- In absence of Director, may act as designee for appropriate decision making..
- Oversees onboarding activities associated with all Departmental employees including, but not limited to, orientation, health screenings, payroll, benefits, technology and general human resource functions.
- Along with Ambulatory Women's Services leadership, this position promotes program enhancement and development.
- Continually evaluates existing services and identify new program opportunities.
- Serves as a mentor and promotes professional development of team members.
- Participates in the development and maintenance of departmental quality and performance improvement initiatives.
- Participates in the JCAHO and CMS site visits, including administrative and clinical preparation.
REQUIREMENTS:
- Education: BS degree preferred
- Experience: Minimum 7years of related experience, Practice Manager experience preferred
Will have oversight of Hoffberger, Owings Mills and Sinai locations, approximately 24 FTEs
Salary $81K to $100K dependent on experience and internal equity.
