Client Service Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Client Service Specialist based in the United States.

This role provides an opportunity to support clients through accurate, responsive, and high-quality retirement plan administration services.
You will work at the intersection of financial services and technology, helping deliver reliable solutions that improve customer experiences.
The position focuses on managing daily operations, resolving client inquiries, and ensuring benefit processes are handled with precision.
You will collaborate with internal teams and external stakeholders to maintain service excellence and strengthen client relationships.
The role offers exposure to retirement plan operations, reporting, process improvement, and financial service technologies.

Accountabilities:

The Client Service Specialist is responsible for supporting retirement plan operations, maintaining strong client relationships, and ensuring accurate processing of administrative activities. This role requires organization, problem-solving ability, and a customer-focused mindset to deliver timely and compliant service.

  • Support daily retirement plan operations by monitoring workflows, prioritizing tasks, and escalating issues when needed to maintain service quality.
  • Provide account support to clients and internal partners by assisting with benefit payment processing, participant inquiries, special requests, and routine data reconciliation.
  • Research and resolve routine or moderately complex issues while documenting actions taken and escalating more complex matters appropriately.
  • Communicate clearly with clients and internal stakeholders regarding administrative procedures, documentation requirements, and service-related questions.
  • Collaborate with cross-functional teams to ensure accurate and efficient service delivery.
  • Generate and review standard reports using internal systems and tools to identify trends, support decision-making, and maintain reporting accuracy.
  • Provide guidance and knowledge sharing to colleagues on standard procedures, processes, and technical topics.
  • Assist with training activities, procedural updates, special projects, and continuous improvement initiatives.
  • Identify opportunities to enhance workflows and contribute to improvements in operational efficiency.
  • Support a positive client experience by providing reliable, timely, and professional service.
Requirements:

The ideal candidate has experience in client service, financial services, or retirement plan operations, along with strong organizational and communication skills. Candidates with different levels of experience may be considered based on their background and capabilities.

  • 2+ years of experience in client service, financial services, retirement plan operations, or a related field required.
  • Equivalent experience through education, training, military experience, or relevant professional background may be considered.
  • Knowledge of qualified and non-qualified benefit plan payment distributions is a plus.
  • Familiarity with plan documents, administrative procedures, contracts, and financial service products is beneficial.
  • Strong written and verbal communication skills with the ability to explain processes clearly to clients and colleagues.
  • Excellent organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Strong attention to detail and accuracy when handling financial information and administrative processes.
  • Ability to work independently while also collaborating effectively within a team environment.
  • Strong analytical, problem-solving, reading comprehension, and basic mathematical skills.
  • Ability to quickly respond to client needs while maintaining a high level of service quality.
  • Limited travel may occasionally be required.
  • For Client Service Specialist II consideration, 4+ years of relevant experience is preferred.
