Job Description

Lehigh University

Lehigh University is an affirmative action/equal opportunity employer and does not discriminate on the basis of age, color, disability, gender, gender identity, genetic information, marital status, national or ethnic origin, race, religion, sexual orientation, or veteran status. Lehigh University provides comprehensive benefits including partner benefits.

Lehigh University's Information Technology Services team keeps a research-intensive university running and the person who keeps ITS itself running smoothly is just as important. If you're someone who finds genuine satisfaction in bringing order to complex processes, this Coordinator role puts you at the center of it all. Sitting within ITS, you'll own the operational and administrative backbone of the department working across contracts, governance, financial workflows, and compliance to keep things accurate and on time.

Position Number: S71140

This position is a Grade: 7 - 37.5 with an approximate salary range of $37,190-$44,640 and is subject to change based on experience, skills and qualifications.

What You'll Be Doing

  • Maintain a master contract calendar and repository, tracking renewal dates, terms, and pricing across all ITS software agreements
  • Review contract renewal terms well ahead of expiry and partner with departments to inform decisions to renew, renegotiate, or cancel
  • Serve as the primary contact for software vendors on renewal, licensing, and billing matters
  • Monitor software utilization across ITS to ensure licensing aligns with actual departmental need
  • Represent ITS in IT governance committee discussions related to website updates and associated initiatives
  • Prepare agendas, briefing materials, and follow-up documentation for governance meetings, tracking action items through to resolution
  • Liaise between ITS technical staff and governance stakeholders to keep website-related decisions progressing
  • Process departmental chargebacks and purchase orders/requisitions, reconciling financial records and resolving discrepancies with Finance & Administration
  • Maintain documentation that supports contract, procurement, and financial compliance across the department
  • Identify and escalate gaps in contract or financial processes before they become risks, and provide backup coverage for other critical ITS administrative functions

What You Bring

  • High Scholl Diploma or GED
  • Associates or Vocational/Technical Degree preferred
  • Three to five years of work related experience
  • Familiarity with contract management, procurement/purchasing systems, and IT governance processes preferred
  • Experience in an administrative, contracts, or operations coordination role — ideally within a technology, higher education, or similarly complex environment
  • Strong attention to detail with the ability to manage competing deadlines
  • Clear written and verbal communication skills, including the ability to represent a department in cross-functional meetings
  • Proficiency with standard office and web content tools; experience with Lehigh's systems or similar ERP platforms is a plus
