Contracts & Grants ManagerLocation: New York, NY

New York Common Pantry is one of the city’s largest hunger relief organizations, providing food assistance, case management services, senior food provision, nutrition education, and hygiene services. We are a dynamic, mission-driven organization experiencing rapid growth and expansion.

NYCP is a poverty-fighting organization that reduces hunger and promotes dignity, health, and self-sufficiency by using a holistic approach. Last year, we assisted over 764,000 visitors, served over 11.7 million meals, and accessed $10.7 million in public benefits resources for our guests. Through an array of programs that we offer, we look to establish long-term stability for those we serve.

The Contracts & Grants Manager oversees the organization's grants and contracts from Federal, State, City, and local agencies, as well as private foundations. This position will collaborate with key members of Food Programs and Development to meet monthly, quarterly, and annual contractual reporting requirements, and prepare necessary budget documents for applicable grant applications.

The Contracts & Grants Manager will report directly to the Controller at the 8 East 109th, New York, NY 10029 location. The position is full-time, exempt. This role offers flexibility for hybrid work arrangements.

Responsibilities:

  • Collaborate with key stakeholders across Food Programs, Operations, and Development to identify, secure, and manage grants and contracts.

  • Develop and maintain a comprehensive grants and contracts calendar, ensuring all deadlines, deliverables, and reporting requirements are met.

  • Partner with Program and Development teams to create accurate grant and contract budgets, and implement necessary budget modifications to align with funding requirements and organizational goals.

  • Monitor spending across all grants and contracts to ensure compliance with funder requirements and organizational policies.

  • Oversee the vouchering process for government grants and contracts, ensuring timely, accurate, and complete submissions.

  • Respond promptly to funder inquiries, addressing disallowances, discrepancies, and compliance issues to ensure successful resolution.

  • Conduct monthly review meetings with Program leads to analyze financial reports and monitor grant and contract performance.

  • Support the agency’s annual budgeting process by providing financial analysis, oversight, and recommendations.

  • Assist with the organization’s annual financial audit by ensuring accurate reporting and maintaining supporting documentation.

  • Manage the organization’s Accounts Receivable process, ensuring timely collections and proper documentation.

  • Supervise the Grants & Contracts Specialist and review vouchers, budget modifications, journal entries, and related financial documentation.

  • Other responsibilities as assigned.

Qualifications:
  • A minimum of a Bachelor's degree is required, with a concentration in accounting or finance preferred.

  • A minimum of three (3) years of relevant work experience is required.

  • Commitment to helping communities in need and NYCP's work and mission.

  • Experience with multiple government grants administration and contracts, and an understanding of and experience with non-profit financial models is preferred.

  • Experience with indirect and direct expense allocations to grants and contracts.

  • Ability to work in a collaborative team environment.

  • Familiarity with FUND EZ is a plus.

  • Proficient with Microsoft Office Suite and Google Drive.

  • Comfortable working with diverse populations.

  • Professional written and verbal communication skills.

Pay: $80,000 - $90,000/year - commensurate based on experience
