Job Description
Description:
Odin Properties, a Real Estate Investment & Property Management company, is looking for a Central Admin Specialist based out of our Center City Philadelphia, PA office. This role will be responsible for move-ins, resident experience, collections & delinquencies, renewals, move-outs, and management of the admin AI agent.
Requirements:- Finalizes executed leases at move-in and manages ongoing resident experience, including virtual resident escalations, resident notices and announcements, resident feedback and sentiment, and proactive resident reach-out.
- Monitors delinquency by tracking payment status, communication with residents on outstanding payments, and setting up, monitoring, and documenting delinquency payment plans.
- Manages delinquency escalations, including demand and eviction notices, evictions (including via attorneys), follow-up with delinquent past residents, and coordination with debt collection agencies.
- Maintains resident ledgers.
- Manages the renewal process, including sending digital-only renewal offers, following upon renewals, completing notices to vacate, and holding renewal discussion meetings.
- Handles non-renewal and unit-change logistics, including distributing blank NTVs, collecting completed NTVs from non-renewing residents and placing them on notice, coordinating residents moving to other properties, and processing unit transfers and lease changes.
- Executes the move-out process, including sending and following up on move-out checklists, collecting forwarding addresses, confirming mover readiness, and completing financial move-out.
- Handles post move-out steps, including SODA and post move-out resident communications.
Key Skills & Education
- Bachelor's Degree in business related field.
- Strong communication across phone, email, chat, and in-person interactions.
- High attention to detail in document review, ledger accuracy, and compliance steps.
- Ability to manage multiple workflows and priorities across properties (move-in, resident experience, delinquency, and renewal).
- Sound judgment in delinquency escalation and eviction review, renewal and notice-to-vacate decisions.
- Proficiency with accounting and ledger systems, and AI-enabled tools.
- Comfort handling sensitive resident and financial situations.
