This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Executive Assistant based in the United States.
This fully remote role provides high-level administrative and operational support to multiple senior executives in a fast-moving environment. You will serve as the primary partner to a senior executive while also supporting other members of the leadership team as business priorities evolve. The role requires exceptional organization, discretion, communication, and judgment, particularly when managing sensitive information and competing priorities. You will coordinate complex calendars, travel, meetings, and leadership activities across multiple time zones. Success in this position depends on anticipating needs, identifying potential blockers, and creating clarity before issues arise. - Serve as the primary Executive Assistant to the Chief Scientific Officer and Co-Founder while providing additional executive support to the Chief Commercial Officer, Chief Operating Officer, and Head of People as business needs evolve.
- Manage complex and frequently changing executive calendars across multiple time zones, balancing business priorities, individual preferences, competing demands, and critical commitments.
- Act as a thoughtful gatekeeper by evaluating meeting requests, resolving scheduling conflicts, protecting executive focus time, and ensuring high-priority activities receive appropriate attention.
- Coordinate domestic and international business travel, including flights, accommodations, ground transportation, visas, itineraries, and other logistical requirements.
- Anticipate executive needs, identify competing priorities and dependencies, and proactively surface decisions or issues that could become blockers.
- Provide occasional personal-assistant support to the Chief Scientific Officer and Co-Founder while maintaining a high level of discretion and confidentiality.
- Partner closely with the Executive Assistant and Chief of Staff supporting the CEO to coordinate leadership schedules, meetings, travel, and shared priorities.
- Support cross-functional initiatives, including People team projects, company offsites, and other operational activities as opportunities arise.
- Build and maintain effective organizational systems that ensure commitments, details, and follow-ups remain visible and consistently completed.
- At least 5 years of experience supporting multiple senior executives, ideally within an early-stage, hypergrowth, fast-paced, or similarly ambiguous environment.
- Demonstrated ability to operate independently, take ownership without requiring detailed direction, overcome obstacles, and consistently follow through on commitments.
- Exceptional organizational skills, with the ability to manage multiple competing priorities, maintain attention to detail, and quickly adapt when plans or business needs change.
- Strong interpersonal and written communication skills, with the ability to build trusted relationships, work effectively with different personalities and working styles, and communicate with clarity and diplomacy.
- Strong judgment and discretion when handling confidential or sensitive information, including the ability to determine what should be escalated, what can be resolved independently, and how much context different stakeholders require.
- Proven ability to proactively anticipate needs, identify dependencies, reinforce commitments, and drive follow-through across executives and stakeholders.
- Resourceful and resilient mindset, with the persistence to find solutions and maintain effectiveness in high-pressure situations.
- AI-first approach to work, with experience using AI tools to improve workflows, automate repetitive tasks, support research, and create greater operational leverage.
- Comfortable working in a high-trust environment where priorities can shift rapidly and success requires both autonomy and close collaboration.
