Executive Assistant
We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide direct support across multiple healthcare, technology, and business entities. This position is ideal for a professional who thrives in a fast-paced environment, exercises sound judgment, maintains strict confidentiality, and effectively manages competing priorities while serving as a trusted partner to senior leadership.
The Executive Assistant will play a critical role in coordinating operations, communications, special projects, and strategic initiatives. This individual will be viewed as a valued member of the administrative leadership support team and will have the opportunity to contribute ideas, identify opportunities for improvement, and help drive organizational efficiency as the company continues to grow.
We are looking for someone who is proactive, solutions-oriented, and comfortable taking initiative. The ideal candidate is not simply focused on completing assigned tasks but is interested in becoming a long-term contributor whose insight, judgment, and professional growth can evolve alongside the organization.
Key Responsibilities:
• Manage executive calendars, meetings, appointments, and scheduling across multiple entities and projects
• Coordinate communications and follow-up with physicians, executives, consultants, vendors, attorneys, accountants, and business partners
• Prepare, review, organize, and maintain business, operational, and executive documents
• Track action items, deadlines, deliverables, and ongoing projects to ensure timely execution
• Assist with corporate, regulatory, operational, and administrative matters across multiple organizations
• Coordinate travel arrangements, itineraries, meetings, and executive logistics
• Prepare meeting agendas, maintain records of key discussions, and follow up on assigned action items
• Support special projects, strategic initiatives, and cross-functional business activities as directed
• Maintain strict confidentiality while handling sensitive business, financial, personnel, and operational information
• Serve as a central point of coordination between executive leadership, staff, and external stakeholders
• Anticipate executive needs and proactively identify opportunities to improve organization, efficiency, and communication
Qualifications:
• 2–5 years of executive support, administrative, project coordination, or operations experience preferred
• Exceptional organizational, prioritization, and time-management skills
• Strong written and verbal communication skills
• Ability to work independently with minimal supervision
• Strong attention to detail and ability to manage multiple priorities simultaneously
• High level of professionalism, discretion, and sound judgment
• Proficiency with Microsoft Office, Google Workspace, and business software applications
• Experience supporting multiple entities, healthcare organizations, professional service firms, or fast-growing businesses preferred
• Project coordination, operations support, or executive-level administrative experience strongly preferred
