This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Coordinator I, Client Services based in the United States.
This role supports the smooth and timely processing of clinical research submissions in a highly regulated environment.
You will serve as a key point of contact for sponsors, CROs, investigators, and site teams throughout the submission process.
The position combines client service, administrative coordination, document review, and operational support.
You will help identify missing information, resolve submission issues, and keep work moving within established turnaround times.
Accuracy, responsiveness, and attention to detail will be essential to maintaining high-quality service and minimizing errors.
The role also provides opportunities to contribute to process improvements, training, and broader operational initiatives.
This is a fully remote U.S. position suited to someone who enjoys structured work, collaboration, and making a meaningful contribution to clinical research.
- Client Communication: Serve as the primary point of contact for sponsors, CROs, principal investigators, and clinical research sites regarding assigned submissions.
- Submission Processing: Process assigned submissions accurately and efficiently while meeting established turnaround times and client requirements.
- Administrative Review: Conduct thorough reviews of submission materials, identify missing or incomplete information, and coordinate with study and site personnel to resolve issues.
- Documentation: Accurately document client requirements, organizational guidelines, protocol notes, and other relevant submission information.
- Operational Support: Assist the broader team with task reassignments and coordinate documentation required for foreign-language translations.
- Quality & Accuracy: Maintain a high level of attention to detail and collaborate with quality control teams to identify and minimize errors.
- Customer Service: Respond proactively to customer inquiries, generally within 24 hours, and escalate customer or timeline concerns to supervisors when appropriate.
- Process Improvement: Participate in initiatives designed to improve workflows, service quality, and operational efficiency.
- Professional Development: Complete required training on schedule and participate in relevant conferences, workshops, and learning opportunities.
- Submission Complexity: Progressively handle increasingly complex submission types, beginning with modifications with minimal informed consent form impact and advancing toward submissions with greater impact and broader responsibilities as the role develops.
- Experience: At least 2 years of experience in customer service or an office-based environment, preferably within a regulated industry.
- Education: A bachelor’s degree in a related field is preferred.
- Technology: Intermediate computer skills with proficiency in Microsoft Office, particularly Word and Outlook.
- Organization: Strong ability to manage administrative tasks, documentation, deadlines, and multiple priorities with consistent accuracy.
- Attention to Detail: Demonstrated focus and precision when reviewing information and processing documentation.
- Communication: Clear verbal communication skills, including active listening, comprehension, responsiveness, and professional interaction with clients and stakeholders.
- Customer Focus: Ability to provide responsive, empathetic, and professional support while maintaining a high standard of service.
- Problem Solving: Comfortable identifying issues, gathering missing information, escalating concerns appropriately, and contributing to practical solutions.
- Learning Agility: Ability to understand and follow basic instructions, learn new processes, and develop knowledge of clinical research submission workflows.
- Work Environment: Comfortable working independently in a fully remote setting while collaborating effectively with distributed teams.
- Salary: Base salary range of $50,000–$66,974 per year, depending on location, skills, and experience.
- Bonus Eligibility: The position may be eligible for variable bonus compensation.
