About The Role
The Maintenance Coordinator is an hourly, full-time role within the Admin department responsible for ensuring the smooth, safe, and efficient operation of the organization’s facilities. This position works largely independently to address routine building maintenance issues, coordinate and oversee vendor-provided services, and support general upkeep of the building and grounds. The Maintenance Coordinator will handle a wide variety of tasks each day, from basic repairs and preventive maintenance to sourcing and scheduling outside contractors for more complex issues. This role requires strong organizational skills, the ability to multi-task, and a hands-on approach to problem-solving.
What You'll Do
- Perform routine building maintenance, including basic repairs, inspections, and preventive maintenance tasks.
- Respond promptly to maintenance requests, work orders, and facility-related issues throughout the building.
- Diagnose minor maintenance problems and determine when to perform repairs in-house versus when to outsource.
- Coordinate, schedule, and oversee outside vendors and contractors for specialized or complex maintenance needs.
- Maintain relationships with a variety of vendors that provide services such as HVAC, plumbing, electrical, landscaping, and cleaning.
- Ensure that building systems, equipment, and common areas are kept in safe, clean, and orderly condition.
- Track and document maintenance activities, work orders, and vendor services as needed.
- Monitor inventory of maintenance supplies, tools, and equipment; request or purchase replacements when necessary.
- Support adherence to safety standards and building codes, and report any hazards or safety concerns.
- Participate as a member of the safety committee and attend regular meetings to provide updates.
- Perform other related maintenance and facility support tasks as assigned.
Qualifications
- 1+ year of experience in general maintenance, facilities support, contracting, or a related hands-on role.
- Knowledge of general maintenance and building repairs (e.g., basic plumbing, electrical, carpentry, and painting).
- Ability to work independently, prioritize tasks, and manage multiple maintenance requests at once.
- Ability to lift, move, and carry materials and equipment weighing up to 50 pounds.
- Comfort working with and around common maintenance tools, equipment, and building systems.
- Strong communication skills in English, with the ability to coordinate and follow up with internal staff and external vendors.
- Experience coordinating or supervising outside vendors and contractors is preferred.
- Established relationships with outside maintenance and facility-service vendors is a plus.
- High school diploma or equivalent preferred; technical training or trade certifications are a plus.
- Reliable, detail-oriented, and safety-conscious, with a proactive approach to identifying and resolving facility issues.
