About This Position

Advanced Air Systems is looking for a Project Coordinator to join their all-star team! The ideal candidate is someone who has a can-do attitude and is very customer service oriented. This person is also detail oriented and has can communicate with project managers about project needs.

  • Key Responsibilities
  • Follow and improve SOPs to ensure efficiency and compliance.
  • Maintain standard documentation system for all projects.
  • Process permits on time prior to project start.
  • Schedule inspections promptly with local authorities.
  • Package, submit, and log submittals within 48 hours.
  • Print and provide project handbooks to field teams.
  • Submit commissioning documentation per project closeout.
  • Issue subcontracts as requested by PM.
  • Submit subcontractor invoices promptly for payment.
  • Submit and track change orders in Spitfire system.
  • Follow up to ensure timely billing.
  • Provide necessary project support to PM and CM teams.
  • Generate and submit closeout document packages timely.
  • Submit workmanship warranty letters promptly.
  • Submit job closeout request to accounting and archive files.
  • Schedule technicians and construction managers for all jobs.
  • Review and correct all timecards for project, cost code, and location accuracy.
  • Track attendance for monthly bonus eligibility.
  • Monitor Samsara for vehicle PM schedules and coordinate repairs.
  • Monitor safety events and report to Construction Managers and VP.
  • Skills, Experience, and Knowledge Required 

    Education

    High school diploma or equivalent

    Experience

    1-4 years of experience

    Skills & Requirements

  • Microsoft Office proficient
  • Ability to read and write in English
  • Detail Oriented
  • Minimum 18 years of age
  • Successful Pre-Employment Drug test
  • Working Conditions | Environment | Special Requirements
  • Full time onsite
  • Ability to work in a safe professional manner adhering to all regulatory requirements including, OSHA, State and Federal regulations.
