Job Description
The Temporary HR Assistant reports to the HR Manager and provides administrative and coordination support to the Human Resources team in support of the mission of Developmental Enterprises Corporation (DEC). This is a 90-day assignment with the potential for extension or permanent placement based on business needs and performance.
This role supports the HR Manager, HR Coordinator, and HR Training Coordinator by assisting with recruitment coordination, onboarding, training logistics, leave administration support, safety support, and HR administrative processes. The position plays a key role in maintaining organized, timely, and compliant HR operations within a structured, regulation-driven environment.
Key ResponsibilitiesRecruitment & Pre-Employment Coordination- Coordinate interview scheduling and communicate with candidates regarding next steps
- Support pre-employment processing, including background checks, drug screenings, MVRs, physicals, and required clearances
- Track candidate progress and ensure timely completion of all pre-employment requirements
- Prepare onboarding documentation and support candidate readiness for hire
- Coordinate onboarding logistics, including scheduling orientation and preparing new hire materials
- Ensure completion, accuracy, and proper routing of onboarding documentation
- Track onboarding requirements and support new hire readiness for start dates
- Partner with the HR team to deliver a consistent and organized onboarding experience
- Prepare training rooms, materials, and supplies for orientation and training sessions
- Support day-of training logistics, including setup, attendance tracking, and coordination
- Coordinate with IT to ensure training equipment and systems are operational
- Assist with tracking training completion and required training milestones
- Assist with the administration of employee leave processes, including issuing required documentation such as FMLA forms
- Receive and track leave-related documentation to ensure completeness and timely follow-up
- Serve as an initial point of contact for employee questions related to leave, policies, and site guidelines, escalating as appropriate
- Support communication between employees, leadership, and HR regarding leave status and documentation
- Maintain employee files to ensure documentation is accurate, complete, and audit-ready
- Receive, review, track, and distribute HR-related documentation, including onboarding forms, compliance records, incident reports, and leave documentation
- Ensure timely submission and proper routing of HR documents to appropriate parties
- Support document collection, filing, scanning, and data entry
- Draft, edit, and distribute HR-related correspondence as needed
- Assist with scheduling, calendar coordination, and HR meeting logistics
- Support general administrative functions including mail handling and document organization
- Assist with collecting, organizing, and tracking incident reports and related documentation
- Support coordination with occupational health providers (e.g., Concentra or similar vendors) for pre-employment and post-incident requirements
- Maintain documentation related to workers’ compensation and employee medical clearances
- Participate in Safety Committee activities and support safety-related initiatives
- Assist with tracking safety documentation, incident reporting, and follow-up actions
- Support administrative aspects of compliance within a regulated environment
- Assist with maintaining HR databases, certification records, and training-related documentation
- Support tracking of compliance items and required certifications to ensure timely completion
- Monitor and update tracking systems based on established processes and metrics set by the HR Manager
- Assist with reporting needs by organizing and maintaining accurate HR and training data
- Assist with coordination of HR-related activities, including trainings, meetings, and open enrollment logistics
- Support scheduling and coordination across multiple program locations
- Provide backup support to the HR Coordinator and HR Training Coordinator as needed
- Assist in maintaining continuity of HR operations during absences or high-volume periods
- Provide consistent administrative support to the HR team
- Communicate effectively with employees, candidates, leadership, and external vendors
- Escalate concerns, delays, or gaps in process as appropriate
- Other duties as assigned
- Associate’s degree in Business Administration, Human Resources, or a related field is a plus
- Minimum of three (3) years of administrative experience, preferably in Human Resources
- Experience in Intellectual and Developmental Disabilities (IDD), human services, or healthcare environments strongly preferred
- A combination of education and relevant experience will be strongly considered
- aPHR certification is a plus
- Experience working in compliance-driven or regulated environments
- Familiarity with leave administration processes (e.g., FMLA)
- Exposure to training, certification tracking, or HRIS systems
- Strong organizational and time management skills
- High attention to detail and accuracy
- Ability to follow structured processes and maintain compliance
- Strong communication and follow-up skills
- Ability to handle confidential information with professionalism
- Tech-savvy with the ability to learn and navigate systems efficiently
- Ability to manage multiple priorities in a fast-paced environment
- Temporary 90-day assignment
- Up to 37.5–40 hours per week based on business needs

Salary range: $19-22/hr
Schedule: 7:30a-3:30p or 8:00a-4:00p
