About This Position
Title: Production and Operations SpecialistLocation: All Stars Project (ASP) of New Jersey Status: Full Time, Non-Exempt, HybridReports to: Director, Production and Operations, ASP of New JerseySalary range: $60,000–65,000/annualized ($28.85–$31.25/hour)
Job SummaryThe Production and Operations Specialist, All Stars Project of New Jersey (ASP of NJ), is tasked with ensuring operational excellence in event producing, office management, information technology, and overall coordination among ASP of NJ programs and activities. The successful candidate will support the production of events, including major special events and community-building activities/events, for ASP of NJ. They will coordinate all aspects of the volunteer and intern operations. They will partner with regional and national staff to ensure we produce high-quality developmental events and performance programs involving our young people and partners. They are an integral player in the implementation of the process, with key staff members who implement strategies, policies, and best practices for the ASP of NJ program production and operations, including the management of ASP of NJ offices.

All Stars Project of New JerseyAll Stars Project of NJ launched in 1999 in Newark and in 2013 opened the Scott Flamm Center for Afterschool Development in downtown Newark. The Flamm Center quickly became NJ’s vibrant epicenter of development and partnership for more than 5,000 young people, families and partners from the business, education, cultural and non-profit communities. In 2017, we expanded our New Jersey footprint to include Jersey City. In 2021, ASP NJ was pleased to announce an invitation to move into the Gateway Center, Newark’s most prestigious business complex, as part of Onyx Equities’ commitment to reshaping Gateway’s relationship with the communities of Newark. The Gateway partnership is just one of the ways ASP of NJ is building a “Campus for Development.

Job SummaryThe Production and Operations Specialist, All Stars Project of New Jersey (ASP of NJ), is tasked with ensuring operational excellence in event producing, office management, information technology, and overall coordination among ASP of NJ programs and activities. The successful candidate will support the production of events, including major special events and community-building activities/events, for ASP of NJ. They will coordinate all aspects of the volunteer and intern operations. They will partner with regional and national staff to ensure we produce high-quality developmental events and performance programs involving our young people and partners. They are an integral player in the implementation of the process, with key staff members who implement strategies, policies, and best practices for the ASP of NJ program production and operations, including the management of ASP of NJ offices.
- Coordinate event production logistics, including communication with staff and other stakeholders for all events, both virtual and in person, including for the Development School for Youth and other program initiatives.Coordinate special projects as needed to ensure the efficient functioning of ASP of NJ programs and activities.Support the production of select special events and companion programming, including but not limited to Internship Summit and Afterschool Development Initiatives work.Assist the production of special events/activities, including annual benefits, Afterschool Development Working Group (ADWG) Roundtable, & city-wide community outreach events for ASP of NJ.Support the supervision and day-to-day guidance of college student interns, supporting their professional development and coordination on assigned projects. Respond to all prospective volunteer inquiries and enrollment of Talented Volunteers. Coordinate the production of volunteer orientation meetings.
Operations and Administration
- Coordinate the smooth running of office functions for the ASP of NJ’s office and event spaces. Manage facility walkthrough and maintain office supply inventory.Coordinate the resources and assist with technology needs and repairs, including computers, phones, video conferencing, security, and other office technology for ASP NJ staff.Support the management of office expenses, including preparing and submitting check requests for vendor payment approval.Support the implementation of organizational and office policies and procedures and communicate them effectively to all staff and volunteers.Serve as liaison with Managed Service Provider.Set up new equipment; prepare old machines for discarding.Ensure all technology equipment is in good working order.Respond to the requests of the Director of Productions and Operations and the Associate Director of NJ, as needed.
Qualifications
- 4-6 years of relevant experience in nonprofit operations and/or program execution and event production preferredProven experience in managing office technology systems (e.g., computers (including Macs), printers, monitors, docking stations, TVs, Internet equipment (both wired and wireless), phones, etc.)Strong, proactive team playerUnderstanding of poverty-related issues and a commitment to creating educational and developmental opportunities for underserved youth in outside of school contextsStrong leadership, management, and interpersonal skills and the ability to interact and communicate professionally with individuals at all levels of the organization, as well as external stakeholders (youth, donors, volunteers)Proven event production and project management skills to deliver quality results in a timely manner, including managing expenses for events to stay within budgetProven capacity to apply independent judgment in planning, prioritizing, and organizing multiple tasks in a diversified workloadSuperb administrative skills, including use of MS Word, Excel, PowerPoint, and OutlookAbility to lift 25 pounds and climb a ladderFlexibility in schedule; ability to work on evenings and SaturdaysBachelor’s degree or equivalent experience preferred
