About This Position
Duty/Role – Office Assistant/Clerk
Job Description – The Office Assistant/Clerk will act as a primary facilitator for systems and operational paperwork. Working in conjunction with shop team members, this role will coordinate document maintenance, capture, and completion. The key daily activities that this will surround will be Project Management/Materials List, and Quality Control Documentation maintenance; elements will be added and removed as needed due to business needs. This role will be expected to work 40 hours per week, with a potential for overtime when business needs dictate.
Rate of Pay – $18.00 - 24.00 / Hour
L&L Fabrication is an ASME Code vessel shop Holding U and R stamps. We offer ASME-coded work built to spec, along with repairs and maintenance on used pressure-rated equipment.

Expected Roles/Responsibilities:
- Assist in verification of timecard information for appropriate repository of floor staff.
- Verify that the time reporting is accurate regarding work at the location and cost codes.
- Receive verified pack slips from the warehouse clerk and mark materials on PM (Project Management) Lists accordingly.
- Communicate with internal and external parties on missing paperwork, in alignment with PM Lists.
- Scan, Save, File all job-related documents in their appropriate folders per company folder systems.
- Verify and Update various Company and Customer project tracking documents.
- Assist with Document/Revision/Release Control of paperwork to the fabrication team
- Provide a POC for Quality Documentation needs (Blueprints, travelers, heat # Logs)
- Compile finished Quality Documentation in alignment with Quality Control Team and digitize; sending to the appropriate team members.
- Keep records, update, and maintain trackers.
- Communicate and resolve issues with local suppliers.
- Greet and assist customers in person and phone calls.
- Retrieve mail and packages and distribute.
- Create engineering print packages and job binders for production floor.
- Equipment tracking, labeling, registration, scheduled actions.
- Performs other related duties as assigned.
Requirements for the Role:
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- General understanding of Operational financial accounting and cost accounting.
- Ability to maintain a regular schedule.
- Ability to comprehend and apply new materials quickly.
- Proficient with Microsoft Office Suite or similar software, and office tools.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 40 pounds at times.
