About This Position
POSITION SUMMARY:
Responsible for providing support services to the Indirect Lending area. Duties include but are not limited to accepting phone calls from members and dealerships, disbursing, and processing loans, assembling, and scanning loan files, and partnering with loan coordinating to complete lien filings and insurance tracking. The Coordinator assists in monitoring trends and delinquency control, developing and maintaining relationships with Dealers, maintaining internal GL accounts, working as a resource for internal staff, and works closely with underwriting to decision loans.
KNOWLEDGE SKILLS AND ABILITIES:
- Basic Math skills required to ensure accurate calculations for income verification
- Must have or be able to develop working knowledge of credit reports, ratios utilized in underwriting, trends in credit history, and other underwriting criteria to assist with decisions within established levels of lending authority and to make sound recommendations to underwriting
- High level of organizational skills and attention to detail required to ensure proper, accurate and timely loan file completion and processing of payment to dealership partners
- Good Written and Verbal communication skills required. Must possess adequate maturity and professional member service skills.
- Must have Knowledge of, and comply with all laws, rules and regulations which apply to financial institutions, particularly Credit Unions, including the BSA and anti-terrorism laws.
- Must Have or be able to develop within 90 days, extensive knowledge of Credit Union products and services, operations, and procedures to function effectively.
- Must have the Ability to type and operate general office equipment and computer software
- Requires familiarity with and the ability to use software systems including Outlook, Instant Message, Word, PDF and Excel. Must be able to develop adequate skill level within 90 days on additional software programs such as the Credit Unions internal operating software system, Episys and the Indirect platform, TCI.
- Demonstrated problem solving skills.
PHYSICAL REQUIREMENTS:
- Substantial repetitive movement of arms, wrists, hands and fingers, including picking up, pinching, keyboard use, telephone use
- Requires movement through standard office environment such as occasional bending, stooping, frequent sitting, walking short distances
- Must be able to communicate through the spoken and written word, expressing ideas or documenting others expression of ideas
- Occasionally required to move records or stacks of papers from one point to another within the office area, requiring possible lifting to 10 pounds
REPORTING RELATIONSHIPS AND CONTACTS:
- Reports to the Indirect Lending Supervisor
- Frequent daily contact with Credit Union staff and dealerships
- Occasional contact with outside sources such as Credit Union Service Organizations (CUSO), insurance companies, title companies and motor vehicle departments
- Occasional contact with members regarding loan stipulations, title work and to assist with member questions. A high level of interpersonal skills required to effectively represent the Credit Union and work with all members and dealerships.
- Frequent exposure to sensitive information requires a tactful and trustworthy individual to protect the Credit Union’s interest, employees, and members.
POSITION RESPONSIBILITIES/ESSENTIAL FUNCTIONS:
LOAN APPLICATION REVIEW, DECISION, AND FILE PROCESSING: 80%
Primarily Responsible for support of the Indirect Lending department including but not limited to:
- Receives and effectively reviews indirect loan applications, requests needed information, creates notes and provides recommendations for decisions, and submits to underwriting for approval
- Makes and sends decisions within established After-Hours and lending limits
- Reviews all received loan packets from dealerships utilizing a quality control checklist to ensure all required stipulations are both received and satisfactory information has been provided
- Analyzes both W-2 income and self-employed borrowers tax returns utilizing appropriate calculations and tools including a 2nd tier review for self-employed borrowers to ensure accuracy in calculations
- Processes and funds Indirect loans, crediting and tracking dealership incentive payments appropriately
- Records all applications received to assist with appropriate tracking and sharing of information amongst department and Senior Management
- Processes required Adverse Action notices in accordance with regulation
- Creates memberships for non-member loans, ensuring all BSA requirements are satisfied
- Daily monitoring of the Dealership Reserve Accounting to process chargebacks and ensure accuracy in both incentives paid and chargebacks withheld to comply with Dealership Retail Financing Agreement
REPORTING AND RELATIONSHIPS: 15%
- Assists with the development and maintenance of policies and procedures for area of responsibility
- Quotes loan payoffs as needed for both Members and Dealerships
- Assists Business Development Officer with development and maintenance of relationships with dealers through frequent contact and visits as well as fielding incoming dealership calls
- Assists Indirect Lending Supervisor and AVP of Lending Quality with monitoring trends and delinquencies in Indirect portfolio and developing reports for management and Board as appropriate
- Assists with coordination of workflow of department in absence of Indirect Officer
SECONDARY FUNCTIONS 5%:
- Promotes a team atmosphere within the Credit Union and functional area
- Assists Indirect Lending Supervisor with training new hires and sharing knowledge with other departments as needed
- Assists with writing and updating procedures as required
- Serves as Credit Union advocate, representing the Credit Union in a courteous and professional manner by conducting oneself appropriately always in manner, dress and actions. Maintains and projects the Credit Union’s professional reputation.
- Performs all functions in the safest manner possible and according to Credit Union procedure, assuring the safety of other employees and members. Works toward resolution of safety issues, injuries or potential problems or reports such to the most appropriate source for resolution. Encourages and supports members and other staff to perform tasks safely and reports such to the appropriate supervisor for further action as needed.
- Assists with and is responsible for general monitoring of security during the daily operations of the Credit Union, including possible opening and closing of the building, monitoring those present in the facility, and their purpose, being aware of and able to implement security procedures, etc.
QUALIFICATIONS/EXPERIENCE
- High school diploma or equivalent required. Must possess adequate maturity level to effectively analyze and process job duties. Professional business attire and presentation required.
- At least six months prior office or similar experience required. Prior experience in full service financial institution helpful and may be preferred at the discretion of management.
- Excellent written and verbal communication skills
- Good math, organizational, and business writing skills, and attention to detail required
- Ability to work with dealers, members and staff tactfully and professionally, both in-person and on the phone
- Ability to type and operate general office equipment and computer software required

IMPORTANT NOTES:
- Employment Status: Full-Time
Work Schedule: Flexibility required. Standard hours include an alternating work schedule with shifts of 8am – 5pm, Monday – Friday, 9am – 6pm Monday – Friday, and 10am – 3pm Saturdays. Remote sign-on options available for the hours 5pm – 6pm Monday – Friday and 10am – 3pm Saturday. Occasional early meeting attendance required.
