Job Description

The California Endowment is seeking an Events Coordinator for the Center for Health Communities (CHC), Oakland Office. Reporting to the Events Manager, this on-site role will report 5 days in one of our Oakland office

Position Summary:

The Events Coordinator is the primary authority on the scheduling system for the conference center. The position is responsible for scheduling and managing of all conference center events, and all TCE meetings. The Events Coordinator is in charge of the daily event operations for the Conference Center. They oversee that all center policies and procedures are implemented and that customer services standards are upheld. This position works in conjunction with the Events Manager to update and improve all web, menu, and marketing material. This position manages office operations to ensure that guests and TCE staff are supported. The position works closely with the conference center staff, CHC Staff and selection committee to ensure smooth daily operations of the conference center.


Key Responsibilities:


  • Processes requests for conference space and maintains reservation log
  • Manages event requests
  • Supports specified program managers in their event needs for the administrative offices.
  • Works with senior administrative staff to assist with program manager calendars with regards to guest for meetings at the Oakland office.
  • Manages flow of TCE guests into and out of building and upholds security protocols
  • Manages the flow of information into and out of the office and ensures appropriate documentation is maintained at all times.
  • Works with the Events Manager to ensure that the business center is maintained and staffed.
  • Is responsible for closing the front desk and center every day.
  • Organizes all materials for weekly selection committee.
  • Supports and assists all internal users in meeting planning.
  • Creates all diagrams and room charts for internal events.
  • Works with internal clients to ensure all audio visual needs are processed.
  • Works with conference center staff to ensure all room set ups are processed correctly.
  • Works with the Events Manager to ensure all operational needs are processed.
  • Cross-trained in all conference center responsibilities including reservations, A/V and set-up.
  • Ensures the smooth logistical operation of the conference center.
  • Implements and evaluates room set-up, transition and striking processes.
  • Supports and assists Endowment Board and guests in meeting planning.
  • Ensures guest’s reservations and meetings comply with Center policies.
  • Manages all Banquet Event Orders (BEO’s) for internal events.
  • Manages all audio visual requests for internal meetings in the center and administrative offices.
  • Oversees the building janitorial staff as it relates to the maintenance of the conference center.
  • Acts as liaison and manager for all internal events.
  • Acts as liaison with Catering organizations.
  • Manages all check requests for conference center.
  • Assists and supports special projects as assigned.
  • Exercises The Endowment’s values in all contact with staff and clients

  • Desired Knowledge, Skills & Abilities:


  • Able to work in a multi-cultural environment.
  • Experience in staff supervision and team management.
  • Experience in developing, analyzing and monitoring budgets.
  • Familiar with hotel or conference center reservation processes.
  • Well-organized with attention to detail and adherence to procedures.
  • Works well in a team environment.
  • Proven communication skills.
  • Bilingual English/Spanish preferred.


  • Minimum Experience:

  • 3-5 years management experience in the hospitality industry, preferably in hotel management or conference center management.
  • Bachelor’s degree preferred.

  • Salary Range:


    Target Hiring Range: $32.10 - $40.13


    Full Salary Range: $32.10 - $55.37

    Compensation offers are determined based on the candidate’s relevant experience, market data, and internal equity. Most offers fall within the target hiring range, with the full salary range reserved to support growth and progression over time in the role.
