As part of The Counseling Team International (TCTI), an FR Health division, you'll join a team dedicated to providing high-quality behavioral health services to first responders, public safety agencies, and their families.

We are seeking an organized, customer-focused Care Coordinator to serve as a vital link between our clients and clinical team. In this role, you will coordinate appointments, support clinicians, manage client communications, and ensure an exceptional experience from the first point of contact through ongoing care.

Position Summary

The Care Coordinator serves as a central point of contact for clients, clinicians, and contracted agencies. This position is responsible for coordinating department requests, scheduling appointments, responding to critical incident requests, maintaining accurate records, and ensuring seamless communication between clients and clinical staff.

The ideal candidate is highly organized, customer service-oriented, and able to effectively prioritize multiple tasks while maintaining professionalism and confidentiality.

Essential Responsibilities

  • Professionally answer incoming phone calls, emails, and other communications.
  • Welcome clients and provide exceptional customer service to current and prospective clients.
  • Schedule and coordinate client consultations, assessments, and appointments with clinical personnel.
  • Collect and maintain accurate client information within internal systems.
  • Coordinate clinician assignments based on client needs, availability, and scheduling requirements.
  • Monitor appointment schedules and proactively resolve scheduling conflicts.
  • Contact clients regarding upcoming appointments and scheduling changes.
  • Assist with critical incident response coordination and department requests.
  • Prepare, distribute, and maintain documentation and reports.
  • Coordinate meetings and facilitate communication between team members.
  • Maintain organized electronic and physical client records while ensuring confidentiality.
  • Support department operations by performing additional administrative duties as assigned.

Qualifications Required:

· High school diploma or equivalent.

· Excellent customer service, communication, and interpersonal skills.

· Strong organizational skills with exceptional attention to detail.

· Ability to manage multiple priorities in a fast-paced environment.

· Proficiency with Microsoft Office and general computer applications.

· Experience with scheduling, administrative support, or customer service.

· Ability to maintain confidentiality and exercise sound judgment.

Preferred:

· Associate's or Bachelor's degree.

· Experience in healthcare, behavioral health, or medical scheduling.

· Knowledge of healthcare or behavioral health terminology.

· Experience working with electronic scheduling or medical record systems.
