Description:

i3D Manufacturing is a production-focused metal additive manufacturing partner, delivering high-quality, repeatable parts for demanding industries. We are seeking a Sales Coordinator to provide administrative and operational support to the sales team, keeping customer records, sales tools, and internal processes organized, accurate, and up to date. This position reports directly to the Sales Manager.

Requirements:

Key Responsibilities

CRM Management

• Maintain accurate, up-to-date customer and opportunity records in the CRM.

• Monitor data hygiene, flagging duplicate, incomplete, or outdated entries for correction.

• Support pipeline tracking by logging activities, updating opportunity stages, and ensuring follow-up tasks are recorded.

• Support sales team members on CRM best practices and data entry standards.

• Assist in building and refining CRM reports, dashboards, and views for leadership visibility.

Masterfile Administration

• Create, organize, and maintain customer and part masterfiles across relevant systems.

• Ensure masterfile data (pricing, specifications, contacts, terms) stays accurate and current.

• Coordinate with Sales Engineers to capture updates from active projects and quotes.

• Support handoffs between sales and project coordinators by ensuring masterfile information is complete before project kickoff.

SOP Development & Maintenance

• Document and maintain Standard Operating Procedures for sales team workflows (CRM use, quoting, order intake, masterfile updates, reporting).

• Identify process gaps or inconsistencies and recommend improvements.

• Support onboarding of new sales team members by maintaining clear, current process documentation.

• Partner with cross-functional teams to align sales SOPs with production, finance, and quality requirements.

Reporting & Analysis

• Prepare regular sales reports (pipeline status, forecast accuracy, win/loss trends, activity metrics) for leadership review.

• Compile data from CRM and other systems into clear, organized summaries.

• Support month-end and quarter-end reporting cycles.

• Flag data trends or discrepancies that may need leadership attention.

Sales Team & Customer Support

• Assist with quotes intake, tracking, and routing to the appropriate Sales Engineer.

• Prepare and format proposals, quotes, presentations, and other customer-facing materials.

• Track follow-up items and deadlines to help the sales team stay on schedule.

• Serve as a point of contact for internal questions related to sales process, CRM, or documentation.

• Support coordination of trade show logistics, including shipping SWAG, marketing materials, and booth supplies to event locations.

• Coordinate travel arrangements (flights, lodging, rental cars) for the sales team, including itinerary management and expense documentation as needed.

Qualifications

Required

• 1+ years of experience in a sales support, sales operations, or coordinator role.

• Experience working within a CRM system (e.g., HubSpot, Salesforce, or similar).

• Strong organizational skills with high attention to detail and accuracy.

• Ability to manage multiple priorities and deadlines in a fast-paced environment.

• Clear written and verbal communication skills.

Preferred

• Experience in manufacturing, engineering, or a technical B2B sales environment.

• Familiarity with ERP systems and how sales data flows into production and finance.

• Experience creating or maintaining SOPs or process documentation.
