This role is a high-trust, high-impact support position partnering directly with executive leadership at the EVP or C-suite level.
You will act as a strategic gatekeeper and coordination hub, ensuring seamless management of complex calendars, travel, meetings, and communications.
The position requires strong anticipation skills, allowing you to proactively manage priorities, prevent scheduling conflicts, and support executive effectiveness.
You will handle highly confidential information while also preparing reports, correspondence, and executive-level materials for internal and external stakeholders.
The role extends beyond traditional administrative support, involving cross-functional coordination and occasional leadership of other administrative staff.

- Manage and optimize executive calendars, ensuring prioritization of meetings, travel time, and work-life balance considerations.
- Coordinate domestic and international travel arrangements, including itineraries, logistics, vendor negotiations, and related approvals.
- Prepare, organize, and maintain materials for executive meetings, boards, committees, and leadership presentations.
- Serve as a liaison between the executive, internal teams, external partners, and boards, ensuring timely communication and follow-up.
- Draft, edit, and manage high-level correspondence, reports, and confidential communications with minimal supervision.
- Support meeting logistics including scheduling, agendas, room setup, catering, and technology coordination.
- Track action items, follow-ups, expenses, and administrative workflows to ensure timely execution and compliance.
- Assist in onboarding new team members and provide mentorship or coordination support to other administrative staff.
- 7+ years of executive administrative experience, including at least 4 years supporting C-level or senior executives.
- High school diploma required; Associate’s or Bachelor’s degree preferred.
- Strong expertise in calendar management, travel coordination, and executive-level communication.
- Excellent written and verbal communication skills with the ability to interact across all organizational levels, including boards and external stakeholders.
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint) and strong overall business software literacy.
- Proven ability to handle confidential information with discretion and professionalism.
- Strong organizational, multitasking, and prioritization skills in high-pressure environments.
- Ability to mentor or support other administrative professionals and contribute to team effectiveness.
