Director of Operations & Workforce Management

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Director of Operations & Workforce Management based in United States.

This senior operations leadership role is responsible for building and optimizing the infrastructure that enables high-quality, scalable healthcare delivery.
The position sits at the intersection of strategy, analytics, and execution, driving workforce capacity, provider utilization, scheduling efficiency, and patient access.
You will lead operational systems that support multi-state clinical programs while partnering closely with clinical, product, and executive teams.
The role requires a data-driven operator who can transform complex challenges into efficient processes and measurable improvements.

Accountabilities:

The Director of Operations & Workforce Management will own the operational engine behind scalable clinical services, ensuring teams, systems, and processes are aligned to deliver efficient and accessible care. This role combines workforce strategy, operational analytics, project leadership, and cross-functional collaboration to improve performance and support growth.

  • Develop and maintain workforce capacity models across multiple clinical roles, including therapy, psychiatric consultation, coaching, and care coordination, ensuring provider availability aligns with patient demand.
  • Maintain accurate workforce data across operational systems, including provider availability, scheduling, credentialing status, caseloads, licensing, and state coverage.
  • Forecast staffing needs based on enrollment projections, partner growth, and service expansion plans while proactively identifying and addressing capacity gaps.
  • Partner with provider operations teams to support recruitment strategies, onboarding processes, and provider pipeline development.
  • Own scheduling operations and optimize provider availability through improved scheduling workflows, waitlist management, cancellation protocols, and utilization tracking.
  • Monitor operational KPIs including service volume, provider productivity, patient access, referral conversion, time to care, retention, and appointment trends.
  • Build dashboards and reporting frameworks that provide actionable insights into operational performance and support leadership decision-making.
  • Analyze data trends to identify bottlenecks, improve workflows, and recommend operational strategies that enhance patient and provider experiences.
  • Collaborate with clinical, product, and growth teams to improve patient journeys, including intake, scheduling, provider matching, engagement, and care continuity.
  • Support revenue cycle operations by ensuring enrollment, billing, and operational workflows are aligned and efficient.
  • Lead operational projects, technology implementations, and process improvements, including automation initiatives, AI-enabled workflows, and system enhancements.
  • Create and maintain operational playbooks, documentation, and standardized processes to support consistency across teams.
  • Act as a strategic partner to leadership by translating complex operational challenges into clear recommendations and scalable solutions.
Requirements:

The ideal candidate is an analytical and strategic healthcare operations leader with experience building scalable systems, managing workforce planning, and improving operational performance in complex care environments.

  • 5+ years of experience in healthcare operations, clinical program management, workforce management, or a related operational leadership role.
  • Proven experience developing workforce plans, capacity models, and scheduling strategies within multi-site, multi-state, or healthcare environments.
  • Strong analytical capabilities, with the ability to define data requirements, build reporting structures, interpret insights, and communicate recommendations effectively.
  • Experience managing complex cross-functional initiatives from strategy and design through implementation.
  • Strong understanding of healthcare compliance requirements, including provider credentialing, state licensure, W2/1099 classification considerations, and billing workflows.
  • Ability to investigate operational challenges, identify root causes, and create practical solutions in ambiguous or fast-changing environments.
  • Excellent communication skills, with the ability to present operational insights clearly to clinical teams, executives, and non-technical stakeholders.
  • Experience with BI and data visualization platforms such as Sigma, Tableau, Looker, or similar tools is preferred.
  • Familiarity with healthcare technology platforms, behavioral health operations, payer integrations, or clinical workflow systems is a plus.
  • Experience working in a high-growth startup environment where processes and infrastructure are continuously evolving is preferred.
  • Strong ownership mindset, curiosity, attention to detail, and ability to balance strategic thinking with hands-on execution.
