Job Description

The Program Manager (PM) reports to the Assistant Director of Masters Program Management within the Office for Graduate Education and oversees the administration and delivery of the Master of Science in Healthcare Quality and Safety (SM-MHQS) program. Working closely with the Assistant Director, Program Directors, faculty, and other stakeholders, the PM manages day-to-day program operations and contributes to strategic planning and continuous program improvement. The PM partners with leadership to develop and implement program-specific policies, guidelines, procedures, and operational standards; interprets University policies within the program context; and identifies opportunities to strengthen operations, student engagement, and the overall educational experience.

Course Management/Curriculum Delivery and Oversight:

  • Manages the delivery of the MHQS curriculum, including course schedules, academic calendars, instructional activities, and course materials.
  • Builds and maintains Canvas course sites and applies best practices in adult learning, instructional design, and educational technology.
  • Reviews course evaluations and partners with faculty to identify and implement improvements.
  • Provides guidance and training to faculty and teaching assistants on course delivery, technology, and student engagement.

Recruitment and Admissions:

  • Oversees and manages the full recruitment and admissions lifecycle, including recruitment strategy, prospective student engagement, information sessions, application management, admissions committee coordination, applicant evaluation, admissions decisions and communications, and admitted student enrollment and onboarding.
  • Establishes and maintains admissions processes, timelines, procedures, records, and documentation to support an efficient, consistent, and high-quality admissions experience.

Student Advising and Engagement:

  • Serves as a primary advising resource for students and faculty throughout the student lifecycle.
  • Advises on program requirements, academic progress, registration and enrollment, leaves of absence, cross-registration, advisor selection, University policies, and student resources.
  • Acts as a liaison among students, faculty, Program Directors, the Office for Graduate Education, the Registrar, and other HMS offices.
  • Monitors progress toward degree requirements and coordinates graduation activities.
  • Develops and implements student engagement and community-building initiatives and plans program events and activities.

Management of Teaching Assistants and Temporary Staff:

  • Oversees the recruitment, hiring, onboarding, training, and management of teaching assistants, curriculum assistants, LHT employees, and temporary staff.
  • Establishes expectations and workflows, monitors performance and deliverables, reviews and approves reported time, and ensures adherence to HMS policies.

Financial Management and Faculty Payments:

  • Coordinates faculty and instructional staff payments and processes contracts, honoraria, guest speaker payments, and other program expenses.
  • Maintains accurate payment records and ensures transactions are processed in accordance with HMS policies and procedures.

Reporting and Special Projects:

  • Maintains program records and data related to grades, admissions, enrollment, students, alumni, and faculty and coordinates required reporting.
  • Develops reports and analyzes program metrics to identify trends, evaluate effectiveness, and inform strategic planning and continuous improvement.
  • Supports alumni engagement and career outcome tracking. Collaborates with program and departmental leadership on policy development, program growth, student services, and special initiatives.
  • Identifies and implements process improvements and ensures program operations comply with University policies and applicable requirements.

Physical Requirements:

  • Sitting using near vision use for reading and computer use for extended periods of time.
  • Lifting (approximately 20 to 30 pounds), bending, and other physical exertion.

Qualifications

Basic Qualifications:

  • 5 or more years of relevant experience in higher education administration, academic program management, student services, admissions, or a related field. Higher education may count towards experience.


Additional Qualifications and Skills:

  • Bachelor's or Masters degree preferred.
  • Experience managing complex programs, projects, or administrative processes.
  • Experience managing graduate or professional academic programs strongly preferred.
  • Experience overseeing recruitment and admissions processes, including application management, admissions committee coordination, and enrollment activities.
  • Experience advising students and interpreting and applying academic and institutional policies.
  • Strong project management and organizational skills, with demonstrated ability to independently manage multiple priorities and deadlines.
  • Excellent written, verbal, and interpersonal communication skills and the ability to work effectively with students, faculty, senior leadership, and cross-functional partners.
  • Demonstrated ability to exercise sound judgment, handle sensitive and confidential information, and navigate complex student and program matters.

Additional Information

  • Standard Hours/Schedule: 40 hrs. per week | Monday - Friday | 8:00 am - 5:00 pm. May be required to work nights and weekends.

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the Universitys Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
