The employee benefits/payroll specialist position is 32 hrs/week. The salary range is $18-$27/hr.
Payroll & Benefits Specialist
Position Summary:
We are seeking a detail-oriented and dependable Payroll & Benefits Specialist to join our team. This role is responsible for processing payroll, managing employee benefits, supporting onboarding, and assisting with general accounting and administrative duties. The ideal candidate is organized, self-motivated, and able to meet deadlines in a fast-paced environment.
Key Responsibilities:
Payroll Duties:
- Process payroll, including pay changes, deductions, and employee status updates
- Maintain and update timekeeping records (ETO, call-ins, missed punches, etc.)
- Transfer time clock data into payroll system and process direct deposits (ACH)
- Prepare payroll reports and distribute to department heads
- Process payroll taxes in compliance with IRS regulations
- Prepare quarterly and year-end tax reports, including W-2s
- Manage retirement plan contributions and ensure compliance with plan guidelines
Employee Administration:
- Conduct new hire onboarding and complete employment paperwork
- Enter and maintain employee data across systems
- Process employee terminations and notify appropriate parties
- Maintain accurate and up-to-date personnel records
Benefits Administration:
- Manage employee benefit enrollments and updates
- Enter benefit changes into payroll and vendor systems
- Review and reconcile benefit invoices for accuracy
Additional Duties:
- Reconcile monthly bank statements
- Assist with general ledger entries
- Order and maintain office supplies
- Sort mail and greet visitors as needed
- Support general office and administrative functions
Qualifications:
- High School diploma or equivalent required
- 2+ years of payroll or bookkeeping experience preferred
- Basic understanding of accounting principles
- Strong computer skills and proficiency with payroll systems
- Excellent organizational and time management skills
- Ability to work under deadlines and handle multiple tasks
- Strong communication and interpersonal skills
Work Environment & Expectations:
- Primarily seated position (approximately 95% of the time)
- Occasional standing and walking
- Regular use of computers, phones, and office equipment
- Maintain confidentiality of employee and resident information
- Demonstrate professionalism, reliability, and teamwork
