Bela Family Dentistry is a professional doctor-founded dental organization delivering exceptional patient care through service and love. Our fee for service approach allows us to partner with our patients to achieve their oral health goals while creating an exceptional experience.

The role of the Practice Manager is to be responsible for managing the work of all clinical and non-clinical team members in operational aspects to provide quality performance as well as deliver excellent customer service in line with company strategy, goals and values. Provide support, direction and training to enhance performance, skills and knowledge of team members within the practice.

The essential functions include but are not limited to the following:

HUMAN RESOURCES/TEAM MANAGEMENT

Select candidates for interview, obtain references, participate in or conduct interviews as appropriate for all practice positions. On board new team members. Team development & training. Team performance management. Set goals and administer individual performance appraisals. Review and approve payroll. Manage vacation, time and attendance for team. Employee Relations & managing conflict.
Manage grievances and disciplinary issues. Encourage and foster an effective teamwork approach. Maintain personnel files. Ensure staff adheres to all policies and procedures. Partner with Marketing Manager on all marketing initiatives.

CUSTOMER SERVICE

Ensure team delivers an exceptional experience to every patient. Actively ensure patient satisfaction and 5-star service. Ensure the practice is clean and well maintained at all times.

MANAGERIAL AND FINANCIAL

Lead monthly practice meetings. Create and communicate a budget. Prepare and present monthly/weekly business reports as necessary. Oversee appointment books and practice continuing care systems. Manage practice correspondence and administration. Effectively communicate with all key business relationships. Employ marketing and networking strategies to grow the practice. Ensure team and dentists operate within all company policy and procedures.
Have systems in place to delegate practice management roles during holiday leave and sickness absence to ensure daily running of the practice. Ensure full OSHA and HIPAA compliance by all team members. Adaption of management skills to meet practice needs/requirements. Ensure all business and clinical team carry out their duties in line with organizational policies, procedures and job descriptions.

BUSINESS FOCUS

Activity management to meet daily production and collection goals. Manage controllable costs in line with budgets. Efficiently manage small projects as required to deliver new systems and procedures to time and within agreed budgets. Ensure the team is trained and fully informed about planned changes to systems and procedures. Identify and recommend areas for improvement and communicate to the Leadership team with supporting and background information and benefits.

PERSONAL DEVELOPMENT

To participate in own yearly appraisal. To assess own educational/training needs and explore opportunities for maintaining and updating own professional knowledge and skills.

Minimum Qualifications (Knowledge, Skills, and Abilities):

Undergraduate degree preferred. Minimum of 5 years working in a dental practice, with 2 years in dental practice management preferred OR equivalent in education and/or industry experience. Excellent communication skills both verbal and written for audiences from all levels within the organization. Ability to speak and write clearly and effectively. Ability to build rapport with employees. Ability to foster a cooperative work environment. Ability to lead by motivating, developing and directing team.
Excellent interpersonal and conflict resolution skills. Sound decision-making skills, drive and desire to succeed. Active and attentive listening skills. Displays strong work ethic. Ability to manage multiple and varied tasks simultaneously. Pays attention to detail. Flexibility. Displays strong organizational skills. Dependability. Ability to travel as business needs dictate. Experience with Dentrix dental software and Microsoft Office preferred.
