Job Summary:
The Production & Purchasing Coordinator is responsible for coordinating production schedules and purchasing activities to ensure materials are available to support timely and efficient manufacturing operations. This role balances customer demand, production capacity, inventory levels, supplier lead times, and material requirements. The Coordinator works closely with Manufacturing Operations to resolve scheduling and material issues and maintain appropriate inventory levels.
Essential Responsibilities:
- Coordinate daily production schedules to ensure customer orders and production requirements are met.
- Create, issue, and maintain purchase orders for raw materials, supplies, and production-related items.
- Coordinate with suppliers to confirm material availability, order status, and expected delivery dates.
- Track incoming shipments and communicate delays or changes that could impact production schedules.
- Prepare, process and track Bills of Lading and other shipping documentation.
- Coordinate with carriers, suppliers, and internal teams to ensure shipments are scheduled and delivered as required.
- Enter and maintain production, purchasing, and material information within the company's production/ERP database.
- Maintain accurate production schedules, purchase orders, inventory information, and related records.
- Monitor material requirements and work with Purchasing and Operations to ensure necessary materials are available when needed.
- Support production planning by coordinating priorities, schedules, and changes with supervisors and plant personnel.
- Maintain and update production workflows and related system information.
- Communicate production and purchasing updates across Operations, Purchasing, Sales, and other internal departments.
- Assist with resolving material shortages, supplier issues, shipment delays, and other disruptions affecting production.
- Review purchasing and production data for accuracy and make updates as necessary.
- Provide administrative and coordination support to the Production and Purchasing functions.
Requirements
Required Skills & Abilities:
- Proficiency in Microsoft Office Suite, particularly Excel; experience with ERP systems required.
- Strong analytical, organizational, and problem-solving skills with the ability to manage multiple priorities.
- Excellent communication and interpersonal skills.
- Ability to work independently and effectively within a cross-functional team.
- Understanding of manufacturing processes, production scheduling, purchasing, inventory management, and material flow.
- Strong attention to detail and accuracy.
- Demonstrated ability to identify issues, prioritize tasks, and drive continuous improvement.
Education and Experience:
- High school diploma or GED required.
- Associate’s degree in business, supply chain, operations, or a related field preferred.
- 2 - 5 years of experience in production scheduling, purchasing, materials planning, inventory management, or a related manufacturing environment preferred.
Physical Requirements:
- Sedentary work that primarily involves sitting/standing in a stationary position for prolonged periods.
- Must be able to walk through plant environments and comply with safety and haz-mat requirements.
- Repeating motions that may include the wrists, hands, and/or fingers.
- Must have clear vision to view documents and read computer screens.
- Must be able to hear.
