Overview
We’re looking for a detail-oriented and proactive Billing Administrator to join our team. In this role, you’ll handle all aspects of billing and accounts receivable, ensuring accurate, warranty, and timely processing of invoices. The ideal candidate will have a strong background in accounting software, financial concepts, and payroll management, with a passion for maintaining precise financial records.
Responsibilities
Prepare, review, and process customer invoices for fleet maintenance and repair services
Ensure billing accuracy by validating labor hours, parts, pricing, and service details against work orders
Coordinate closely with technicians, service managers, and operations teams to resolve billing discrepancies
Monitor billing queues to ensure invoices are issued in a timely manner
Apply customer-specific pricing, contracts, and billing requirements
Assist with credit memos, adjustments, and rebilling as needed
Maintain accurate billing records and documentation in internal systems
Support month-end close activities related to billing and revenue reconciliation
Respond to internal and external billing inquiries professionally and promptly
Identify opportunities to improve billing processes, accuracy, and efficiency
Perform other related duties as assigned
Processes and manages warranty claims between customers, service departments, and manufacturers to secure proper reimbursements.
Warranty Responsibilities
Processes warranty claims on a timely basis for each franchise or distributor.
Processes all warranty paperwork to ensure proper documentation.
Verifies criteria required by factory or distributor.
Reconciles all warranty receivables with payments through the appropriate accounting schedule.
Posts credits on computer.
Resubmits all rejected claims promptly or receives authorization to write them off.
Follows up on payment of outstanding claims.
Tracks warranty parts by tagging with repair order number, date of replacement, and date on which part may be disposed.
Arranges for parts to be shipped to the factory or distributor, or to be scrapped.
Files and maintains all service records as required by the warrantor.
Keeps informed of all factory recalls and bulletins.
Assists with the cashier and telephone operator duties as needed.
Assists with any clerical needs as needed.
Maintains a professional appearance and a neat work area.
Performs other duties as assigned.
Skills
2+ years of experience in billing, accounting, warranty, or administrative support (service, transportation, or fleet environment preferred)
Strong attention to detail and accuracy
Ability to interpret work orders, service documentation, and pricing structures
Proficiency with billing systems, ERPs, or accounting software
Solid organizational and time-management skills
Comfortable working with large volumes of data and transactions
Strong written and verbal communication skills
Basic to intermediate computer skills (Excel, spreadsheets, reporting tools)
