Job Description

The Assistant Manager assists the General Manager in overseeing the Front Desk, Housekeeping, and Maintenance teams and their day-to-day operations. This position helps coordinate staffing, schedules, workloads, employee support, guest and vendor inquiries, and the resolution of operational issues. When needed, the Assistant Manager may be required to fill in and perform duties in any of these areas, including Front Desk, Housekeeping, or Maintenance. The Assistant Manager also helps uphold company and customer service standards and supports efficient, productive operations across all departments.

Supervisory Responsibilities:

  • Assists the General Manager in recruiting, interviewing, hiring, onboarding, and training Front Desk, Housekeeping, and Maintenance staff.
  • Provides day-to-day direction and support to employees across Front Desk, Housekeeping, and Maintenance operations.
  • Coordinates schedules, shift coverage, workload distribution, legally required breaks, and overtime approvals.
  • Monitors employee performance, provides timely coaching and feedback, and assists the General Manager with performance evaluations.
  • Addresses employee concerns and supports corrective action and other personnel decisions in accordance with company policy and direction from the General Manager.
  • Promotes clear communication and collaboration among Front Desk, Housekeeping, Maintenance, volunteers, supervisors, and senior management.
  • Helps ensure departmental records, incident reports, workers’ compensation reports, safety documentation, and required employee paperwork are complete and current.
  • Reports safety concerns, policy violations, staffing issues, and significant operational matters to the General Manager.

Duties/Responsibilities:

  • Assists the General Manager with the daily operation of the property and oversight of Front Desk, Housekeeping, and Maintenance functions.
  • Maintains a visible presence throughout the property and helps ensure consistent service, cleanliness, safety, security, and operational standards.
  • Fills in for Front Desk, Housekeeping, or Maintenance shifts and performs the essential duties of those roles when staffing or operational needs require.
  • Reviews daily priorities, staffing levels, room status, maintenance needs, and follow-up items with the General Manager and department staff.
  • Oversees night audit and end-of-day reporting and helps resolve discrepancies.
  • Oversees procedures for reservations, group reservations, third-party bookings, no-shows, cancellations, guest concerns, mail, luggage storage, and lost and found.
  • Coordinates housekeeping priorities, room readiness, cleaning inspections, linen needs, and common-area cleanliness.
  • Coordinates maintenance requests, preventive maintenance, vendor access, repairs, keys, appliances, building systems, security, trash, and recycling.
  • Maintains and restocks operational inventory, including Front Desk, Housekeeping, linen, vending, first-aid, emergency, kitchen, and food supplies.
  • Responds promptly and professionally to guest questions, concerns, incidents, and reviews and escalates significant issues to the General Manager.
  • Supports property activities, amenity tours, daily meals, and guest engagement as assigned.
  • Enforces company policies and health and safety procedures and follows applicable federal, state, and local requirements.
  • Performs other related duties as assigned by the General Manager.

Required Skills/Abilities:

  • Working knowledge of Front Desk, Housekeeping, and basic property Maintenance operations.
  • Strong supervisory, coaching, delegation, and team-building skills.
  • Excellent interpersonal, verbal, written, and customer service skills.
  • Ability to work effectively with guests, employees, volunteers, vendors, and management.
  • Strong organizational, time-management, analytical, and problem-solving skills with close attention to detail.
  • Ability to prioritize competing operational needs, coordinate shift coverage, and remain professional in a fast-paced environment.
  • Ability and willingness to perform Front Desk, Housekeeping, and Maintenance duties when needed.
  • Understanding of service standards, workplace safety requirements, quality control, budgeting, inventory, and performance management.
  • Proficiency with Microsoft Office, Google Workspace, property-management, reservation, inventory, and related systems.
  • Ability to work a flexible schedule, including weekdays, weekends, holidays, evenings, and nights.
  • Ability to frequently lift, move, or push up to 50 pounds without assistance.
  • Ability to stand, sit, walk, bend, kneel, crouch, and repeatedly climb stairs for extended periods.

Education and Experience:

  • High school diploma or equivalent required.
  • Bachelor’s degree in hospitality management, business administration, or a related field preferred.
  • At least two years of hospitality, lodging, or property operations experience required.
  • Previous supervisory experience and hands-on experience in Front Desk, Housekeeping, or Maintenance operations preferred.

The employee may frequently be required to stoop, kneel, and crouch for duration of shift (eight hours or longer). The employee must frequently lift and/or move and/or push up to 50 pounds without assistance.

The successful candidate should have a strong interest in hospitality and the guest experience, with previous hostel, hotel, or budget-travel lodging experience preferred. The position requires the ability to work independently, contribute ideas, support and direct employees, and provide friendly, calm, and effective customer service.

Language Skills:

Ability to read and interpret documents such as e-mail communication, budgets, ledgers, and financial & inventory reports. Ability to effectively present information and thoroughly answer questions in one-on-one and small group situations to customers, clients, and other employees of the organization in English. Bi-lingual ability is a plus.

Reasoning Ability and Computer Skills:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Ability to efficiently use inventory, ordering & computer systems or applications and Microsoft Office programs.

Work Environment:

The work environment characteristics described here are representative of those encountered while performing the essential functions of this position in a lodging property. Work is performed at the Front Desk, in guest rooms and common areas, in storage and utility spaces, and throughout the building and grounds. The employee may be exposed to cleaning products, noise, temperature changes, dust, and minor maintenance hazards.
