Administrative Assistant, Executive FT Days
The Executive Assistant is responsible for providing support services to the President and Executive Staff. Responsibilities include, but are not limited to, typing/word processing, calendar applications, proofreading, preparing reports, processing correspondence, scheduling meetings, recording minutes at meetings, receiving visitors, maintaining files and conducting special projects, as assigned. Handling a large volume of incoming telephone calls in a professional and courteous manner. Interacts with the public, employees and physicians in a professional manner.
Position Summary
Three Crosses Regional Hospital is seeking a highly organized and professional Executive Administrative Assistant & Contract Specialist to provide high-level administrative and contract management support to the Chief Executive Officer (CEO) and Executive Leadership Team. This role is critical to ensuring efficient executive operations, supporting leadership initiatives, and maintaining accurate oversight of organizational and provider contracts.
The ideal candidate is proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced healthcare environment while maintaining the highest level of professionalism and confidentiality.
Key Responsibilities
· Provide executive administrative support to the CEO and Executive Leadership Team Manage executive calendars, scheduling meetings, and coordinating travel arrangements
· Prepare reports, presentations, memos, and confidential correspondence Coordinate Board of Directors and leadership meetings, including agendas, meeting materials, and minutes
· Serve as a liaison between executives, physicians, staff, and community partners Maintain and organize contract files, including provider agreements and vendor contracts
· Monitor contract renewal dates and assist with contract tracking and documentation
· Coordinate internal and external communications for executive leadership
· Manage conference room scheduling and assist with meeting logistics
· Maintain confidential files, records, and executive documents
· Assist leadership with special projects and strategic initiatives as needed
Minimum Qualifications
• Associate’s degree in Business Administration, Healthcare Administration, or related field will consider combination of education and experience.
• Minimum of 3 years of administrative experience
• Experience in a hospital or healthcare setting preferred Experience managing or maintaining contracts, provider agreements, or legal documentation preferred
• Must meet Employee Health Requirements
