Member Intake Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Member Intake Specialist based in the United States.

This role serves as the first and most important point of contact for individuals seeking access to addiction and mental health care services. You will guide prospective members through moments of uncertainty, helping them understand available treatment options and connecting them with the right care pathway. Operating in a fast-paced, mission-driven environment, you will balance empathy with a structured, outcomes-focused approach to ensure every individual receives timely support. The position blends patient advocacy with consultative engagement, requiring strong communication skills and the ability to navigate sensitive conversations with care and professionalism. You will also manage follow-ups, referrals, and scheduling workflows to ensure no opportunity for care is missed. This is a high-impact role where your work directly contributes to improving access to life-changing healthcare services.

Accountabilities:
  • Serve as the first point of contact for prospective members via phone, web inquiries, and online scheduling platforms
  • Proactively follow up with individuals who begin but do not complete scheduling, submit inquiries, or miss initial appointments
  • Educate prospective members on care options using a consultative approach while clearly explaining available services and pathways
  • Identify individual needs, motivations, and barriers while addressing concerns and guiding members toward appropriate care solutions
  • Manage inbound referrals from external providers, ensuring timely outreach and accurate communication of next steps
  • Maintain ownership of assigned leads, creating follow-up plans and ensuring consistent engagement throughout the intake process
  • Accurately document all interactions, updates, and outcomes in CRM and EMR systems such as Salesforce and Athena
  • Collaborate with clinical and operations teams to ensure a seamless and supportive member onboarding experience
Requirements:
  • Experience in healthcare, patient access, admissions, care coordination, community outreach, or member intake roles
  • Strong ability to engage in consultative conversations with empathy, confidence, and a solutions-oriented mindset
  • Comfort working in a metrics-driven environment with performance targets and outcome-based goals
  • Excellent communication skills, with the ability to handle sensitive or emotionally complex conversations professionally
  • Strong organizational skills with the ability to manage multiple leads and follow-ups simultaneously
  • Tech-savvy with experience using CRM systems, scheduling tools, or similar digital platforms
  • Self-starter mindset with strong ownership and accountability for outcomes and follow-through
  • Ability to work efficiently in a fast-paced, evolving, and mission-driven environment
  • Passion for improving access to mental health and addiction care services
