Job Description

Description:

The Shipping Coordinator is responsible for the accurate, timely execution of outbound shipments for customer parts orders as well as any parts returns to suppliers. This role ensures shipments are packaged, labeled, documented, and released in accordance with customer requirements, shipping regulations, and internal procedures.

The Shipping Coordinator works closely with Parts Coordinators, Quality team members, and Purchasing to ensure completed orders are shipped on time and supports Plasma-Therm’s installed base by enabling reliable delivery of spare parts during routine and urgent service events.

Essential Duties and Responsibilities

  • Execute daily outbound shipments for customer parts orders and any returns to suppliers/vendors
  • Package, label, and prepare shipments in accordance with shipping requirements
  • Coordinate with Parts Coordinators to ensure orders are complete and ready for shipment
  • Prepare and verify shipping documentation for domestic and international shipments
  • Release shipments on schedule to meet customer delivery commitments
  • Support expedited and time-sensitive shipments during customer tool downtime events
  • Ensure compliance with internal shipping procedures and safety requirements
  • Maintain accurate shipment records and documentation
  • Communicate shipment status or issues to internal stakeholders as needed

Business Impact

  • Directly supports on-time delivery performance for spare parts shipments
  • Enables service responsiveness and customer uptime during critical support events
  • Prevents shipment backlogs that delay customer support and field service activities
  • Contributes to customer satisfaction and retention across the installed base

Reliable shipping execution is essential to maintaining customer confidence and supporting ongoing spare parts and service revenue.

Requirements:

Required Qualifications

  • High school diploma or equivalent required
  • Prior experience in shipping, logistics, warehouse operations, or order fulfillment preferred
  • Ability to follow shipping instructions and documented procedures
  • Strong organizational skills and attention to detail
  • Ability to work effectively in a fast-paced, deadline-driven environment
  • Effective communication and teamwork skills

Preferred Qualifications

  • Experience with domestic and international shipping processes
  • Familiarity with ERP, shipping, or inventory management systems
  • Experience supporting technical or manufacturing environments

Work Environment & Physical Requirements

  • Work performed primarily in a warehouse and shipping environment
  • Ability to stand, walk, lift, and package materials as required
  • May require lifting of parts within established safety guidelines
