Position Summary
The Associate Site Director is a key operational leader responsible for supporting the effective day-to-day management and overall performance of the UVSO Ivy Hill Campus. Working closely with the Site Director and organizational leadership, the Associate Site Director will provide operational oversight of personnel, student attendance and records, program implementation, budgeting, compliance, scheduling, family communication, and administrative systems.
The Associate Site Director will establish and maintain systems that promote accountability, operational efficiency, staff performance, program quality, and compliance with UVSO policies and applicable early childhood education requirements.
The ideal candidate is an organized, proactive, and solutions-oriented professional with strong leadership, communication, administrative, and problem-solving skills and the ability to manage multiple operational priorities in a fast-paced educational environment.
Essential Duties and Responsibilities
Site Operations & Program Administration
•Support the Site Director in the daily operation and administration of the Ivy Hill Campus including student arrival and dismissal.
•Establish and maintain effective systems to monitor the implementation and execution of required programming, policies, procedures, and operational standards.
•Monitor daily site operations to ensure that classrooms, administrative functions, staffing, and student services are operating effectively.
•Identify operational challenges and work collaboratively with the Site Director and staff to develop and implement solutions.
• Ensure that established UVSO policies, procedures, schedules, and program expectations
are consistently implemented.
• Assist with the coordination and execution of special projects, campus initiatives, events,
and organizational priorities.
• Monitor program benchmarks and evaluate the implementation and effectiveness of
program activities and services.
• Prepare operational updates and reports for the Site Director and organizational
leadership as requested.
Attendance & Student Records
• Establish and maintain accurate systems for daily student attendance tracking.
• Monitor student attendance and follow up on attendance discrepancies, patterns, and
concerns.
• Ensure attendance records are complete, accurate, and submitted according to established
deadlines.
• Assure the maintenance of accurate, complete, and up-to-date student records.
• Monitor required enrollment, emergency contact, medical, authorization, and other
student documentation.
• Particiapte in the recruitment of students for the Ivy Hill Cmapus and work with
administrative and family support staff to address missing or incomplete student
documentation.
• Maintain confidentiality and safeguard student information in accordance with
organizational policies and applicable regulations.
Personnel Oversight & Staff Management
• Provide day-to-day operational oversight of campus personnel, including:
o Teachers
o Teacher Aides
o Supplemental Staff
o Administrative Staff
o Family Workers
o Substitute Personnel
• Assist the Site Director in establishing clear expectations for staff performance,
accountability, professionalism, and workplace conduct.
• Schedule center personnel and substitutes to ensure adequate staffing and appropriate
classroom coverage.
• Monitor staffing levels and identify coverage needs in advance.
• Coordinate substitute coverage for staff absences and unexpected vacancies.
• Monitor staff attendance and punctuality and communicate concerns to the Site Director.
• Support the development and implementation of staff performance improvement plans
when appropriate.
• Promote a professional, collaborative, and student-centered work environment.
Recruitment, Interviewing & Hiring
• Participate in the recruitment process for Ivy Hill Campus positions.
• Make recommendations regarding candidate selection in accordance with UVSO hiring
procedures.
• Ensure that newly hired employees complete required onboarding documentation,
training, and compliance requirements before and during their transition into their roles.
Staff Training, Mentoring & Professional Development
• Train new staff upon hire on campus operations, UVSO policies and procedures, job
responsibilities, documentation requirements, communication protocols, and program
expectations.
• Ensure staff receive appropriate orientation to their assigned positions and
responsibilities.
• Co-evaluate staff performance and identify professional development needs.
• Work with the Site Director to establish individualized professional development goals
and support plans when needed.
• Co-monitor the execution of staff
Program Quality & Performance Monitoring
• Monitor established program benchmarks and performance indicators.
• Evaluate the implementation and execution of campus programming against established
goals and expectations.
• Establish tracking systems to monitor program implementation and staff execution of
required responsibilities.
• Collaborate with teachers, administrators, family workers, and other staff to address
performance gaps and compliance.
• Provide regular updates to the Site Director regarding program performance and
operational concerns.
• Assist with the development and implementation of corrective action and improvement
strategies when necessary.
Family & Staff Communication
• Write, produce, and distribute clear and professional communications to parents,
guardians, and staff.
• Communicate important information regarding schedules, program changes, policies,
events, attendance, operational updates, and campus activities.
• Support consistent communication between families, classroom staff, administrative
personnel, and site leadership.
• Respond to family questions and concerns in a timely and professional manner.
• Escalate complex or sensitive family matters to the Site Director when appropriate.
• Support the development of a welcoming, responsive, and family-centered campus
environment.
Compliance, Accountability & Facilities Management
• Overseeing the coordinate the ordering, receipt, storage, and distribution of food, snacks,
beverages, classroom supplies, and office supplies
• Co-monitor inventory levels and establish systems to prevent shortages of essential food,
classroom, and operational supplies.
• Establish systems to track deadlines and ensure required documentation is completed and
maintained.
• Support preparation for internal reviews, audits, monitoring visits, and regulatory
inspections.
• Immediately communicate significant compliance, safety, staffing, or operational
concerns to the Site Director.
• Maintain confidentiality regarding student, family, personnel, and organizational
information.
Leadership & Operational Expectations

Required Qualifications
• Bachelor's degree in Early Childhood Education, Education, Business Administration,
Human Services, Public Administration, or a related field preferred.
• Relevant supervisory, administrative, or program management experience in an
educational, childcare, nonprofit, or community-based setting.
• Experience supervising and supporting staff.
• Experience with scheduling, attendance tracking, recordkeeping, and administrative
operations.
• Experience monitoring budgets, expenditures, or program performance preferred.
• Strong written and verbal communication skills.
• Strong organizational skills and attention to detail.
• Ability to manage multiple priorities and meet established deadlines.
• Proficiency with Microsoft Office/Google Workspace and other administrative
technology such Procare, PowerSchool and SchoolMint
• Experience with childcare or education management systems such as Procare is preferred.
• Knowledge of early childhood education regulations, licensing requirements, and/or
quality improvement systems is preferred.
