Job Description

Description:

Property Operations and Asset Care

· Oversee day-to-day operations for a portfolio of commercial properties and coordinate interior and exterior maintenance programs.

· Conduct weekly, monthly, annual, move-out, and other required property inspections; prepare inspection reports and identify capital expenditure recommendations.

· Direct activities related to property safety and security, loss prevention, risk management, maintenance, upkeep, and tenant buildouts.

· Forecast and manage replacement of major capital items, including HVAC systems, roof systems, and parking lot surfaces.

· Coordinate capital improvement, maintenance, and tenant improvement projects from scope development and bidding through completion.

· Participate in the rotational on-call process and respond to after-hours property emergencies.

Tenant, Owner, and Lease Administration

· Serve as the primary day-to-day contact for tenants and maintain strong relationships with tenants and property owners.

· Respond to tenant concerns and service requests, investigate disputes, pursue practical resolutions, and follow up on unresolved issues.

· Administer commercial leases, including review of rent charges, tenant billings, lease clauses, amendments, assignments, exhibits, landlord obligations, and tenant compliance.

· Assist with rent collection in accordance with property budgets and lease requirements.

· Collaborate with leasing, legal, finance, and maintenance teams to support leasing activity, tenant satisfaction, and property performance.

Financial Management and Reporting

· Prepare annual property budgets and monitor operating performance against approved budgets.

· Prepare, review, and support approval of annual CAM and lease reconciliations and estimates.

· Coordinate with accounting to maintain accurate rent rolls, accounts receivable, tenant billings, and financial records.

· Prepare and review monthly financial and property reporting packages for owners and internal stakeholders.

· Review and approve invoices for goods and services provided to assigned properties.

Vendor and Contract Management

· Develop specifications for service contracts and capital projects; solicit, review, and analyze vendor bids.

· Negotiate, engage, and supervise contractors and service providers, ensuring quality, timeliness, and compliance with contract requirements.

· Manage service agreements and verify that vendors maintain properties in accordance with company and owner standards.

Compliance and Team Collaboration

· Ensure compliance with applicable laws, safety standards, company policies, lease requirements, and owner directives.

· Communicate clearly and professionally with tenants, owners, vendors, colleagues, and other stakeholders.

· Contribute to a collaborative team environment and support operational priorities across the Southwest Florida portfolio.

Requirements:

Qualifications and Skills

· Minimum of three years of commercial multi-property management experience preferred.

· Florida Community Association Manager (CAM) license preferred.

· Strong knowledge of commercial property operations, budgeting, financial reporting, CAM reconciliations, lease administration, and building systems.

· Working knowledge of commercial lease terms and lease types, including amendments, assignments, legal documents, and standard lease exhibits.

· Proficiency with AppFolio or comparable property management software.

· Strong proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Adobe Acrobat.

· Excellent organization, problem-solving, customer service, and written and verbal communication skills.

· Ability to manage multiple assignments, meet deadlines, and work effectively with cross-functional teams.

· Valid driver's license and ability to travel locally to assigned properties.

· Ability to participate in a rotational on-call schedule for after-hours emergencies.

· Professional certifications such as CPM or RPA are desirable.

· Successful completion of required background screening and drug testing.
