Job Description

Midwest Co-op is currently accepting resumes for the position of Retail Inventory & Receiving Associate. Under the direction of the Retail Location Manager, the Retail Inventory & Receiving Associate is responsible for accurately receiving products, maintaining current cost information, and supporting inventory accuracy through daily, weekly, and month-end reporting. This role performs day-end processes, prepares deposits, assists with inventory reconciliation, and supports store operations through customer service and general administrative duties.

SUPERVISION AND LEADERSHIP

• May assist in guiding junior staff as directed.

• Acts as a go-to team member for routine coordination and task execution.

ESSENTIAL JOB FUNCTIONS

RECEIVING & INVENTORY MANAGEMENT

• Accurately prepares and processes purchase orders for store products.

• Receives incoming products daily and ensures all items are entered into the system at the correct and current cost.

• Coordinates cycle counts with the Location Manager and assists in monitoring inventory accuracy.

• Prepares and reviews month-end inventory reports, reconciling actual inventory to book inventory.

• Identifies and reports irregularities related to inventory or pricing.

FINANCIAL & REPORTING RESPONSIBILITIES

• Prepares daily bank deposits and reconciles deposits to system reports.

• Completes all end-of-day point-of-sale (POS) procedures and generates required system reports.

• Ensures all month-end cutoffs and required reporting tasks are completed accurately and on time.

• Reviews margin and operational reports to support efficient store performance.

CUSTOMER SERVICE & STORE SUPPORT

• Assists customers at the store counter by selling products, preparing invoices, and processing payments.

• Responds to customer account inquiries and resolves issues promptly.

• Answers incoming phone calls and directs customers or vendors to the appropriate staff.

• Maintain current working knowledge of farm supply, hardware, feed, and lifestyle products, programs, order procedures, and invoicing.

OTHER JOB FUNCTIONS

• Follow all health and safety requirements under the Occupational Health and Safety Act (OHSA), including using required protective equipment, following safety procedures, and reporting any potential hazards.

• Follow all company personnel policies, including expectations related to training, performance, and conduct.

• Participate in required MCS training such as Ministry of Labour courses, Health & Safety Standards, Policies, and AODA accessibility training.

• Work cooperatively with approved contractors and follow all related safety procedures when contractors are on site.

• Maintain any required licenses, certifications, or regulatory requirements needed for your role.

• Perform other assigned duties as assigned.

REQUIREMENTS

• High school diploma or equivalent required.

• Strong math skills for pricing, transactions, and inventory tracking.

• Ideally possesses 1-3 years of experience in retail, inventory, receiving or administrative roles.

• Proven ability to work independently, or in a team-oriented environment.

• Demonstrated oral and written communication and organizational skills, with a proven ability to meet recurring deadlines.

• Strong computer skills with proficiency in Microsoft Office

• Ability to multi-task and maintain a positive, professional manner under all conditions

WORKING CONDITIONS

• Primarily works within a retail store environment, including indoor areas, warehouse space, and outdoor grounds

• Sitting for extended periods at a terminal or computer.

• May be exposed to seasonal weather while assisting with tasks such as vehicle loading, snow removal, or lawn maintenance

• Requires frequent standing, walking, bending, and the ability to lift up to 25 kg

• May involve the use of ladders, forklifts, and other store-related equipment

• Occasional extended hours may be required during peak periods or special events
