Setting the Stage

Our Spiritual Care Department provides compassionate support to patients, families, caregivers, and staff during life's most meaningful moments. We are seeking a compassionate, organized, and service-oriented Secretary to provide administrative and operational support that helps our team deliver exceptional spiritual care services.
In this role, you'll serve as the administrative hub of the department, supporting patient care coordination, Clinical Pastoral Education (CPE) programs, chaplain services, and day-to-day departmental operations. A Typical Day
As the Secretary, you'll provide comprehensive administrative support while helping ensure patients, families, staff, and community members receive timely and compassionate spiritual care services. Your responsibilities may include:

  • Serving as the primary point of contact for patients, families, hospital staff, chaplains, students, and community clergy.
  • Receiving, triaging, and coordinating spiritual care referrals while maintaining accurate documentation and timely follow-up.
  • Supporting the Clinical Pastoral Education (CPE) program by coordinating student applications, onboarding, enrollment records, evaluations, educational materials, and accreditation documentation.
  • Managing departmental calendars, meetings, educational events, conference rooms, and chaplain schedules, including on-call coverage.
  • Preparing reports, presentations, correspondence, meeting agendas, and maintaining confidential departmental records.
  • Assisting with departmental projects, quality improvement initiatives, and reporting requirements.
  • Ordering office and educational supplies while ensuring workspaces remain organized and welcoming.
  • Serving as a liaison between the Spiritual Care Department, hospital departments, community organizations, and faith communities.
  • Delivering exceptional customer service while maintaining professionalism, discretion, and confidentiality in every interaction.

To Be Considered
Qualified candidates will possess:

  • Associate's degree required; Bachelor's degree preferred.
  • Minimum of three (3) years of administrative support experience, preferably in healthcare, education, ministry, or human services.
  • Strong organizational, scheduling, multitasking, and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite, Outlook, scheduling software, and Electronic Medical Record (EMR) systems.
  • Ability to maintain confidential information in accordance with HIPAA and organizational policies.
  • Demonstrated ability to work independently while collaborating effectively within an interdisciplinary healthcare environment.
  • Strong customer service skills, attention to detail, and a commitment to professionalism.
