Summary Expectations

The Operations & Administrative Associate will provide support and perform operational and administrative functions for the Wealth Management team. This position requires excellent communication and organization skills and the ability to effectively coordinate multiple tasks and changing priorities. The Operations & Administrative Associate must be detail-oriented and execute with a high degree of accuracy. This position is non-exempt.

Position Responsibilities and Essential Job Duties

• Provides administrative support to Financial Advisors and Client Service Associates.

• Performs routine clerical tasks, including data entry, file clean-up, document downloads.

• Maintains client files and Salentica reports.

• Coordinates meeting logistics such as reserving conference rooms and ordering lunches, drinks or snacks.

• Provides reception coverage, including answering and directing incoming phone calls and assisting visitors as needed.

• Prepares client presentation books and marketing materials.

• Assists with the check deposit process, ensuring timely and accurate processing in accordance with firm policies and procedures.

• Provides support with proofreading and formatting client and company materials.

• Assists Client Service team with client & custodian paperwork.

• Supports the Client Service team with custodian & Black Diamond reports and data aggregation.

• Maintains spreadsheets for various client events or requirement tracking (i.e., RMDs, overweight cash in account portfolios or accounts in need of rebalancing,) which the advisor or a more senior CSA will review.

• Maintains confidential and time sensitive material.

• May help advisors with expense reports.

Professional Experience

• Proficient in software applications and programs including Microsoft Office Products – Excel, Word, and Outlook.

• 3+ years’ administrative or related experience.

• Associate degree or two years’ college preferred but not required.

• Experience in financial services industry, operations or sales assistant experience preferred.

• Ability to organize and prioritize work with attention to detail.

The final salary or hourly rate offered for this role will fall within the range set below based on a variety of factors, including but not limited to, geographic location, experience, skills, and competencies.

Base Compensation: $45,000 - $55,000 Annually
