Description:

Responsible for supporting the administration of payroll and employee benefits across multiple Companies. This role serves as the backup to the Payroll Manager during periods of absence and assists with Workers’ Compensation (WC) claims administration and compliance. The Benefits Manager ensures employees are compensated accurately and on time while supporting the effective management of company benefit programs and leave administration.

Essential Job Duties

Benefits Administration

  • Manage the day-to-day administration of employee benefits, including health insurance, retirement plans, wellness programs, leave of absence administration, and other fringe benefits. Ensure accurate and timely processing of benefit enrollments, changes, and terminations.
  • Maintain a thorough understanding of federal, state, and local laws and regulations related to employee benefits. Ensure company benefit programs comply with all legal requirements and reporting obligations, including ACA and leave administration requirements.
  • Ensure status changes and offers/revocation of coverage are consistent with company policy and ACA requirements.
  • Responsible for ensuring 1095-C reporting is accurate and completed in a timely manner.
  • Manage relationships with benefit providers, including insurance carriers, brokers, and third-party administrators. Evaluate vendor performance and recommend changes when necessary.
  • Assist with the development and implementation of employee communication strategies regarding benefit programs and enrollment options. Provide guidance and support for benefit-related inquiries and issues.
  • Act as a lead resource during the annual Open Enrollment process.
  • Administer and promote employee assistance and wellness programs.
  • Generate regular reports on benefits utilization, costs, and trends. Present findings and recommendations to leadership.
  • Identify opportunities for process improvements and implement best practices to enhance efficiency and accuracy.

Payroll Support

  • Serve as the backup to the Payroll Manager during PTO or periods of absence.
  • Assist with payroll processing activities to ensure employees are paid accurately and on time.
  • Support payroll audits, reporting, tax compliance, and payroll-related inquiries as needed.
  • Maintain confidentiality and accuracy of payroll records and employee data.

Workers’ Compensation Administration

  • Assist with the administration and management of Workers’ Compensation (WC) claims across the organization.
  • Coordinate and monitor claims activity to ensure timely resolution, compliance, and effective cost management.
  • Serve as a point of contact for employees, managers, insurance carriers, medical providers, and third-party administrators regarding WC claims.
  • Support return-to-work and transitional duty processes in partnership with operations and HR teams.
  • Track and analyze claims trends, reporting, and documentation to support safety and risk management initiatives.
  • Ensure accurate recordkeeping and compliance with all Workers’ Compensation regulations and reporting requirements.
Requirements:

Basic Qualifications

Education & Experience

  • Bachelor’s Degree or equivalent work experience.
  • 5+ years of experience in benefits, payroll, HR administration, or a related field.
  • Experience supporting payroll and benefits administration in a multi-state and/or multi-company environment.
  • Prior experience with Paylocity preferred.
  • Solid understanding of payroll processes, employee benefits administration, Workers’ Compensation, and US labor laws.

  • Strong analytical and organizational skills with attention to detail and accuracy.
  • Ability to manage confidential and sensitive information professionally.
  • Proficient in Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint.
  • Ability to communicate effectively across departments and interact professionally with employees and leadership.
  • Ability to handle multiple tasks and priorities simultaneously in a fast-paced environment.
  • Strong problem-solving and decision-making skills with the ability to work independently.

Essential Physical Demands/Work Environment

  • Work is primarily sedentary and requires extended periods of sitting and computer use.
  • Occasional travel may be required, including overnight stays, depending on business needs.
  • Must be able to lift up to 25 pounds.
