The Business Affairs Department is seeking a detail-oriented Office Assistant 2 (Calculations) to support procurement and financial operations for the college. This position plays a key role in processing purchasing and accounts payable transactions while ensuring compliance with SUNY and New York State policies and procedures.

Other job duties for this position include:

  • Purchase Orders (State and Research Foundation) - processing, filing, and maintaining records
  • Verifying purchase order request forms for accuracy and obtaining missing documentation
  • Preparing and submitting proper paperwork to Accounts Payable for payment processing
  • P-Card administration including internal audits
  • Main point of contact to vendors and campus community for procurement related questions
  • Ensuring campus policy and state finance law compliance
  • Fiscal year-end close processes
  • Provide employee training on Purchasing Policies and requirements, eProcurement, P-Card usage
  • Perform general office duties as necessary including back-up and/or assistance when needed within the department

This position requires accuracy, discretion, and the ability to work collaboratively with campus partners to support efficient financial operations.



Job Requirements:

MINIMUM QUALIFICATIONS:

  • Current New York State Civil Service eligibility for Office Assistant 2 (Calculations) OR One year of clerical experience where most work time is spent performing mathematical operations, and/or clerical activities related to mathematical operations.

PREFERRED QUALIFICATIONS:

  • Excellent customer service skills
  • Proficiency with Microsoft Excel and other Microsoft Office programs
  • Demonstrated communication and organizational skills
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities
  • Experience working at a college or university
