This position is posted by Jobgether on behalf of a partner company. We are currently looking for a Executive Assistant. In this pivotal role, you will provide high-impact administrative support to the Chief Client Officer in a late-stage, pre-IPO environment. Your contributions will be essential in managing executive priorities, coordinating complex schedules, and fostering effective communication across a dynamic global organization. You will act as a trusted liaison, ensuring that the CCO can focus on leadership and strategic initiatives while you maintain the operational flow. This role demands a proactive approach, adept organization skills, and the ability to navigate a fast-paced workplace.
Accountabilities
  • Strategic Calendar & Travel Management: Provide comprehensive support for complex internal/external calendaring and domestic/international travel coordination.
  • Client Relations & Liaison: Serve as the primary contact for the Executive Office, enhancing the companys reputation through respectful interactions.
  • Meeting & Event Coordination: Organize executive-level meetings, attend select sessions to capture notes, and ensure follow-up items are addressed.
  • Cross-Functional Collaboration: Partner with leadership and administrative teams to improve communication and streamline processes.
  • Communications & Materials: Draft executive communications and prepare presentations using Google Slides or PowerPoint.
  • Project Management: Support high-priority initiatives by tracking action items and managing special projects.
  • Discretion & Efficiency: Handle confidential information with professionalism and proactively identify solutions.
Requirements
  • 6+ years of experience supporting C-suite leaders, preferably in a high-growth startup or finance environment.
  • Ability to operate effectively in fast-paced, ambiguous, and constantly changing environments.
  • Exceptional written and verbal communication skills, capable of engaging with various personality types.
  • Meticulous attention to detail with strong prioritization abilities.
  • Advanced proficiency with Google Workspace, Slack, Zoom, and ideally Salesforce or similar CRM tools.
  • Demonstrated sound judgment and executive presence.
  • Collaborative spirit with a commitment to working across international time zones.
