Job Summary: We seek an organized, compassionate, and detail-oriented Treatment Coordinator to join our team at Texas Oral & Maxillofacial Surgery. This position plays a key role in managing all aspects of the patient’s surgical journey—from consultation to post-operative care—ensuring a seamless experience for patients, providers, and staff.
The ideal candidate is confident discussing clinical and financial details, skilled at building trust with patients, and proactive in guiding patients from consultation through case completion. This individual thrives in a results-oriented environment and takes ownership of the patient experience from initial consult to surgery day.
Requirements:Surgical Coordination
- Coordinate and maintain the surgeon’s operative schedule to ensure optimal use of time and resources.
- Verify required documentation (referrals, imaging, consent forms, medical clearances, pre-op labs, etc.) prior to surgery.
- Communicate pre- and post-operative instructions to patients and caregivers clearly and compassionately.
- Manage communication with external facilities such as hospitals, anesthesia providers, and referral partners.
- Track pending authorizations, confirm insurance approvals, and maintain surgical logs
Treatment Coordination
- Present treatment plans and financial estimates to patients, ensuring understanding of procedures and fees.
- Proactively guide patients through the decision-making process, addressing questions or concerns that may delay scheduling.
- Implement structured follow-up processes to ensure timely progression from consultation to surgery.
- Monitor treatment pipeline activity and identify opportunities to improve patient engagement and scheduling outcomes.
- Maintain accountability for consult-to-surgery progression and partner with leadership to improve performance trends.
- Coordinate payment arrangements, pre-payments, and CareCredit applications.
- Collaborate with billing and front office staff to ensure accuracy of treatment plans and coding.
- Provide referring offices with updates on case completion and treatment progress.
Patient Care & Communication
- Serve as the primary point of contact for patient inquiries related to surgery and treatment plans.
- Provide a high level of patient service and empathy throughout the treatment process.
- Communicate effectively with the surgical and administrative teams to ensure coordinated care.
- Resolve scheduling conflicts and patient concerns promptly and professionally.
Administrative Support
- Maintain accurate patient records in WinOMS and ensure all required documentation is complete.
- Assist with insurance verification, pre-authorizations, and claims documentation.
- Participate in daily huddles, staff meetings, and ongoing training sessions.
- Ensure compliance with Allied OMS standards, OSHA, HIPAA, and all regulatory requirements.
Qualifications/Preferred Skills & Attributes:
Qualifications
- Minimum 2 years of experience in oral surgery, dental, or medical scheduling/treatment coordination required.
- Strong understanding of oral surgery procedures, dental terminology, and insurance coding.
- Ability to work effectively in a fast-paced, team-oriented environment.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Excellent verbal and written communication skills with the ability to confidently present treatment recommendations and financial options.
- Demonstrated ability to manage a treatment pipeline and follow through consistently on pending cases.
- Proven ability to influence positive patient decisions while maintaining a patient-first approach.
Preferred Skills & Attributes
- Bilingual (Spanish) strongly preferred
- Experience with WinOMS preferred.
- Strong ability to build rapport quickly and establish trust with patients.
- Confident and comfortable discussing financial arrangements and payment options.

Working Conditions/Physical Requirements:
Working Conditions
- This role is based in a clinical setting which requires maintaining a sterile and organized environment.
- Typically full-time hours with occasional extended shifts depending on surgical schedule.
- Moderate noise levels from dental and surgical equipment.
Physical Requirements
- Must be able to stand or sit for extended hours (up to 8 hours).
- Must possess fine motor skills and hand-eye coordination required for documentation and scheduling tasks.
- Frequent bending, reaching, and movement within the clinical area.
