About This Position
Department: Sales Fleet Department
Functions: Assist the fleet department and team with transactions and documentation.
Relationships:
- Reports to Director of Fleet.
- Works closely with the sales fleet team.
Responsibilities and Authority:
- Prepare and maintain spreadsheet with all Fleet inventory including all sold Fleet units.
- Receive and process paperwork and collect any missing stipulations from the Fleet department.
- Create deals for Fleet vehicles sold.
- Request title documents.
- Ensure that name and address files are updated on an ongoing basis.
- Receive deal from Fleet Sales Team.
- Build deal in CDK.
- Review the deal in F&I screens in CDK for accurate accounting and other transaction details.
- Prepare deal recap copies, sticker, and file deals.
- Monitor, update, and resolve open items for deals on the problem list.
- Handling signing of all state and legal paperwork for transaction.
- Collect payments and receipts fund into CDK.
- Book and report deals to the manufacturers.
- Assist in physically driving units to customers/businesses.
- Assist in retrieving vehicles for delivery (gas and sending to detail).
- Assist in merchandising the lot/moving units around the lot/parking units in an orderly manner.
- Stock in units in CDK and scan them to accounting.
- Coordinate with sales lot porter on fresh inventory and stocking units in.
- Assist on snow days removing snow and moving inventory for lot to be plowed.
- Assist with floor plan audits and tracking inventory.
- Help accounting staff and any tasks requested by Management.
- Confirm all required documentation is collected for incentives.
- File for all municipal SOP incentives, verify VQ2 filed on vehicles and all related topics.
- Scan all deals into digital deal jackets.
- Confirm accuracy of commercial sales log monthly.
- Assist with ordering vehicles.
- Confirmed receipt of invoice to customer and assisting in collection of receivables on fleet accounts.
- Any other tasks deemed necessary per Management.
Qualifications:
Able to read and comprehend instructions and information. High School diploma or the equivalent. Computer knowledge preferred. Professional personal appearance. Valid state driver’s license and a good driving record required.
Working Conditions:
Will work at a desk in an office setting. Will spend time outdoors on the lot year-round. Will have personal interaction with customers. Required to stand, stoop, lift, push, pull, kneel, crouch, and reach repeatedly during the shift.
