Job Description

Planned is an AI-native event management platform that helps companies streamline their meetings & events booking process. We make it easy for anyone to plan successful events while giving finance teams the visibility and control they need to maximize their budget. Planned already works with over 200 companies across North America, such as; PwC, L'Oréal, Google, Samsung & Airbnb.
We're on a mission to disrupt a $500+ billion industry. To achieve that, we want to work with brilliant minds and natural leaders who are driven to out-think, out-plan, and outperform the competition. We tackle every business decision with enthusiasm, and we love the work that we do!
As our Event Supply Specialist, you'll source supplier rates and availability at scale, keeping the Planned marketplace accurate, responsive, and competitive in real time. You'll manage a high volume of supplier interactions, maintain strong relationships, and help expand into new markets.
This is an AI-forward role. You'll use AI tools daily as a co-pilot and bring the judgment, relationships, and process thinking that make the output reliable. You don't need to be technical on day one, but you should be curious about making AI work harder for the team.
*Please note, this is an entry-level position*

What You'll Do
Marketplace operations
  • Support the daily operations of the Planned marketplace, monitoring sourcing health, flagging friction points, and helping resolve issues as they come up.
  • Review AI-generated actions and catch gaps, pricing outliers, and missing information
  • Maintain marketplace quality: accurate listings, up-to-date supplier info, reliable response rates

Supplier relationships
  • Be a consistent, responsive point of contact for suppliers and provide platform guidance
  • Triage inbound supplier requests and escalate where needed
  • Onboard new suppliers and track performance signals to identify top partners

Sourcing and market expansion
  • Identify new market opportunities - cities, regions, or supplier categories where coverage is thin
  • Source new suppliers and products using AI research tools

Process and AI improvement
  • Identify areas for improvement in our supply processes and bring them to the team
  • Partner with the Supply Manager and AI Specialists to test and refine AI-assisted workflows
  • Keep playbooks and SOPs current as processes evolve

What We're Looking For
  • Impeccable organization - ablility to manage a high volume of tasks simultaneously
  • Strong work ethic and dedication - a real passion for improvement
  • Excellent written and verbal communication
  • Bias toward process - when something feels manual, your instinct is to document, improve, or automate it
  • Comfortable questioning AI output - you treat it as a first draft, not a final answer
  • Curiosity about AI tools and excited to experiment and share what you learn
  • Team-oriented and adaptable
  • Available to work for our west-coast coverage (11am-7pm, Monday to Friday)

Nice to have
  • Prior experience in hospitality, events, travel, or marketplace operations
  • Exposure to AI assistants (ChatGPT, Claude, Copilot) - personal projects count
  • Bilingual in English and French

What We Offer
  • Culture of high performance, strong talent density and in-person collaboration
  • Unlimited PTO
  • Competitive base pay
  • All the tools and gear you need to be successful (Macbook, screens, mouse, keyboard, ChatGPT, etc.)
  • Health, dental, vision insurance
  • Bus pass subsidy or indoor parking
  • Stocked up snacks & lunches in office 2x per week
  • Dog-friendly office
  • Relocation support, if needed

Not sure you meet all the role requirements, but have a passion for Planned and are eager to help build a great product? Apply today and let us know how you would be a great fit!
