About This Position
Processes payroll; calculates and prepares biweekly payroll; enters appropriate data into the payroll/timekeeping computer file system for final processing. Prepares and inputs into the computer all personnel action forms documenting new hires, promotions, terminations, transfers, resignations, and retirements. Composes correspondence under general direction or on own initiative. Deals with sensitive and confidential personnel matters at the direction of the department director or other officials. Enters and retrieves a variety of technical and requisition information into a computer to update timekeeping and payroll records, process transactions, and respond to requests for information. Processes and calculates performance evaluations. Accounts for and balances daily receipts and records financial information on appropriate reports. Creates, prepares, and processes various invoices for collection of department fees from deposits related to department services. Answers questions and provides information and assistance over the phone and in person. Assists in the preparation of the annual budget. Maintains reports and documentation necessary to ensure proper internal control and to satisfy information needs. Processes incoming and outgoing mail. Processes and tracks documents to ensure the appropriate completion of transactions. Creates and maintains a filing system for the financial area of responsibility; creates and maintains other documentation as it relates to personnel. Researches and recommends long-range planning to improve services. Contacts other agencies and information sources. Attends meetings on behalf of the supervisor to obtain and relay information or to serve as a spokesperson for the department. Processes all telephone bills for deposit into appropriate general fund accounts. Performs other related duties as assigned.
Knowledge of basic mathematical and statistical computation. Knowledge of the principles and practices of basic accounting. Knowledge of basic budgetary principals and practices. Skill in preparing clear and concise reports, correspondence, and other written material. Skill in the operation of standard office equipment. Skill in record keeping, report preparation, filing methods, and records management. Skill in the operation of computers and various software programs. Skill in oral and written communication.
Knowledge and level of competency commonly associated with the completion of specialized training in the occupational field, in addition to basic skills typically associated with a high school education. Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
The work is typically performed while intermittently sitting, standing, stooping, walking, bending, or crouching. The employee occasionally lifts light objects. The work is typically performed in an office, library, or computer room.
