Law Firm Intake Specialist at Law Office of Mark Nicholson – Indianapolis, Indiana

Our rapidly-growing law practice is seeking a full-time legal intake specialist to join our team! You’ll survey prospective clients and empathize with them on the details of their case, manage new client onboarding and data entry, and help our lawyers book and manage their appointments. We’ll provide the training and resources to help you flourish in your role on a tight-knit, supportive, and passionate legal team. $15 - $18 hourly

Responsibilities:

• Evaluate prospective client inquiries and phone calls, analyzing their case fit and making sure they feel seen and heard
• Book consultations for prospective clients with our lawyers to expand our caseload and ensure meeting schedules are accurate
• Collect paperwork and enter data into our case management system to ensure a smooth onboarding for new clients and tidy management of case files
• Conduct various tasks around the office such as managing spreadsheets, writing emails, faxing and copying, and transcribing notes to make sure all processes run smoothly

Qualifications:

• Background in the legal industry preferred
• CRM and case management software experience a plus
• Possesses outstanding communication skills and sense of empathy
• Previous customer service or sales experience preferred
• Strong computer and data entry skills

• Law school or college student preferred
• Experience in customer service or client-facing roles, ensuring every interaction is positive and professional
• Ability to empathize with clients, understanding their needs and concerns to provide the best possible support
• Proven track record of managing schedules and booking appointments accurately and efficiently
• Strong organizational skills to handle paperwork, data entry, and maintain a tidy case management system
• Proficiency in using office software, including spreadsheets, email, and case management tools
• Excellent communication skills, both written and verbal, to convey information clearly and effectively
• Ability to multitask and prioritize tasks in a fast-paced environment, ensuring smooth office operations
