Position Summary
The Purchasing Coordinator plays a key role in supporting the Purchasing Manager by sourcing merchandise and supplies, maintaining accurate inventory records, and ensuring the timely availability of products. This position collaborates closely with cross-functional teams—including Sales & Marketing, Fulfillment, Production, and Customer Service—to ensure alignment with the Production Plan and seamless operational flow. By balancing accuracy, efficiency, and proactive communication, the Purchasing Coordinator helps drive supply chain reliability and supports overall business performance.
Requirements:Purchase Order Management
- Issue and manage purchase orders (POs) for merchandise, supplies, and raw materials in coordination with the Purchasing Manager.
- Consolidate products into POs for upload to ShipHero and generate Sales Orders (SOs) in Odoo, creating Manufacturing Orders (MOs) as needed.
Close out fully received finished product POs in ShipHero and reconcile discrepancies between POs in ShipHero and SOs in Odoo.
Procurement & Vendor Coordination
- Support procurement planning and forecasting activities to align with the Production Plan.
- Communicate with vendors regarding pricing, lead times, availability, order status, and discrepancies.
- Maintain up-to-date vendor records, product data, and purchase documentation.
Inventory & Receiving Support
- Track open orders, monitor delivery schedules, and maintain accurate inventory levels to ensure timely product availability.
- Partner with receiving and inventory teams to confirm deliveries, resolve shipment issues, and manage receiving documentation.
- Assist with inventory audits and cycle counts by providing relevant purchasing and delivery information.
Production Plan Support
- Collaborate with the Production Manager and team to convert product demand into MOs per the Production Plan.
- Assign and update MO priority levels, notifying Production Managers and Supervisors of daily orders and high-priority items.
- Update the Production Plan with exports from Odoo and ShipHero to enable accurate demand recalculations.
Financial & Administrative Tasks
- Match vendor invoices to receipts, enter them into Odoo, code appropriately, and submit with documentation for payment.
- Generate procurement and inventory reports, manage filing systems, and handle vendor correspondence.
- Manage office supply inventory as needed to support day-to-day operations.
Required Skills

- Proficiency with Microsoft Office, especially Excel (formulas, reporting, data management)
- Ability to analyze data, identify discrepancies, and solve problems effectively
- Familiarity with inventory management and purchasing systems (e.g., Odoo, ShipHero)
- Capacity to manage multiple tasks and priorities in a fast-paced environment
- Collaborative mindset with the ability to work cross-functionally across departments
- Basic financial and administrative skills (e.g., matching invoices, coding expenses)
- Adaptability and willingness to learn new software and processes
Qualifications
Required Education and Experience
- Associates degree in Business, Supply Chain, Operations Management, or related field; or equivalent work experience
- 1–2 years of experience in procurement, purchasing, inventory management, or a related administrative/operations role
- Proficiency with Microsoft Office (especially Excel) and comfort working with inventory or purchasing systems
- Strong written and verbal communication skills
- Detail-oriented with strong organizational and problem-solving abilities
- Ability to manage multiple priorities in a fast-paced environment
Preferred Qualifications
- Bachelor’s degree in Business, Supply Chain, Operations Management, or related field; or equivalent work experience
- 2+ years of experience in a warehouse, procurement, or inventory-related role within an e-commerce or manufacturing environment
- Familiarity with wireless or paperless warehouse management systems (e.g., Odoo, ShipHero)
- Experience collaborating across teams (e.g., Production, Fulfillment, Marketing, Customer Service) to support supply chain needs
- Analytical mindset with the ability to identify process improvements and recommend solutions
- Self-starter with proven ability to work both independently and as part of a team
Work Environment & Physical Demands
- This role is performed in a mixed office and warehouse setting, requiring flexibility to move between administrative tasks and hands-on support in operational areas.
- Office work includes extended periods of sitting at a desk, using a computer, and handling paperwork or digital systems.
- Warehouse responsibilities may involve standing, walking, bending, or reaching throughout the day, as well as occasional lifting, carrying, or moving items up to 25–40 lbs.
- The position requires regular interaction with cross-functional teams in both environments, supporting procurement, inventory, and production needs.
- Standard business hours apply, though additional hours may occasionally be required during peak production or seasonal demand periods.
- The work environment may involve moderate noise levels and exposure to warehouse conditions such as varying temperatures.
