About This Position

Position Description:

Are you detail-oriented, organized, and passionate about supporting high-quality healthcare operations? This is your opportunity to play a critical role in maintaining the accuracy, integrity, and flow of medical information on our nursing units. In this essential support role, you will help ensure that documentation, records, and supplies are properly managed so clinical teams can focus on delivering excellent care.

We are seeking a dependable and proactive Unit Clerk to perform a variety of clerical and administrative duties supporting the nursing units serving Federal individuals. This position plays a key role in maintaining medical record integrity, coordinating information across departments, and supporting daily unit operations. Flexibility is important, as this role will float to other units as needed.

What You’ll Do

  • Maintain and organize medical records to ensure accuracy, completeness, and compliance.
  • Manage file systems and ensure adequate supply of required documentation forms.
  • Purge and prepare unit files for archiving; coordinate with the Medical Records department for off-site storage when needed.
  • Orient unit staff to medical record organization and required documentation deadlines.
  • During EMR downtime, flag new orders for transcription by licensed nurses.
  • Review charts prior to shift end to ensure physician orders have been acknowledged.
  • Abstract and review pertinent medical information from health records as requested.
  • Maintain and update required unit binders and logs (e.g., refrigerator temperature logs, communication logs, lab tracking).
  • Monitor supply rooms and storage areas daily for cleanliness and inventory needs; order and maintain appropriate par levels.
  • Ensure admission and discharge packets are prepared and available.
  • Manage discharge documentation, including copying, breaking down charts, and forwarding records to Medical Records in a timely manner.
  • Maintain documentation for the unit sick call process.
  • Notify appropriate personnel of pending medical and legal appointments.
  • Participate in performance improvement activities, audits, and regulatory survey readiness efforts.
  • What We’re Looking For

    Education

  • High school diploma or equivalent (required).
  • Experience

  • Knowledge of medical terminology, medical records management, information systems, or office administration (required).
  • Experience working in a healthcare or secure treatment setting preferred.
  • Licenses & Certifications

  • Ability to obtain and maintain any client-mandated certifications and/or training (required).
  • Must successfully pass a Public Trust background check (required).
