Description

Under the direction of the CSUF SBDC Director, the Program Coordinator will maintain internal client database system, organize, and administer office activities, accommodate incoming inquiries from local community and the general public, conduct community outreach in support of the SBDC goals and mission and provide event support for the CSUF SBDC. The program coordinator will be responsible for supporting consultants and assisting the center director with programming and center-related projects. The program coordinator will touch on various aspects of the SBDC program and needs to be comfortable multi-tasking and managing multiple deliverables simultaneously.

*Please be aware that funding for this position is awarded through a Grant/Contract over a specified period. Employment for this position beyond current Grant/Contract funding is contingent upon continued funding. This award is funded through February 28, 2027.

Essential Duties
  • Maintain Management Information System (MIS) and EDMIS System and act as technical support for Center
  • Assist with trainings, workshops and event planning
  • Setup all pieces needed for trainings, workshops and events including registration/sign up portal, Zoom, flyers, and social media graphics to promote the events
  • Organize and prepare for quarterly/monthly meetings and coordinate the center program promotions
  • Answer phone calls, respond to customer requests for information and coordinate training surveys
  • Maintain current database
  • Onboard new clients and set them up in database system
  • Provide administrative support to the Director of the CSUF SBDC and team of consultants
  • Proofreading, formatting, and finalizing promotional documents, training material and other content
  • Updating mailing lists, internal staff databases, and statistical information
  • Keeps promotional materials ready and keeps inventory of stock, places orders and verifies receipts
  • Review of training reports for compliance with SBA regulations
  • Creation and analysis of consultants “report cards” on performance indicators
  • Manage survey processes to collect impact, needs assessments, and clients satisfaction
  • Develop and deploy email marketing campaigns to the center’s database, aligned with our network email marketing policy
  • Assist in execution of traditional and digital marketing campaigns, in alignment with our network wide marketing efforts and policy
  • Reconciles center expenses and orders
  • Other duties as assigned.
Qualifications
  • Thorough working knowledge of Microsoft Office
  • Good written and oral communication
  • Ability to independently handle multiple work unit priorities and projects
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area
EDUCATION:
  • Minimum Bachelor’s degree.
PHYSICAL DEMANDS:
Prolonged periods of sitting and working at a computer, including frequent typing, data entry, and use of standard office equipment such as phones, printers, and copiers. The position also requires occasional standing, walking, bending, reaching, and light lifting in support of trainings, workshops, and events, including moving and setting up materials and supplies. The employee may occasionally lift and carry boxes of documents, promotional materials, or event items (generally up to approximately 25 pounds) between office and event/training locations on campus or off-site.
