Job Type: Full-time
Schedule: Monday – Friday 9:00 a.m. to 5:00 p.m., with flexibility for second-shift hours as needed for troubleshooting and training.
Position Title: Electronic Health Record (EHR) Systems Specialist
Supervised By: Director of Quality and Training
Scope of Service: Position Summary
The EHR Systems Specialist is a member of the Quality Department, serving as a primary resource for the
administration, optimization, training, and support of Electronic Health Record (EHR) systems. This role is
responsible for managing system functionality, supporting end users, and enhancing workflows to ensure
efficient, compliant, and effective use of agency EHR platforms.
Under direction of the Quality Director, the Specialist leads efforts in system configuration, form and workflow
development, ticket management, troubleshooting, and system improvements. This position supports system
integrations, billing interfaces, and data accuracy, while collaborating cross-functionally to align technology
with operational and clinical needs. Performs other duties as assigned.
Key Responsibilities
System Administration, Support, and Optimization
Under the direction of QI leadership, administer EHR system functions, including user access, rolebased permissions, templates, forms, and workflows.
Manage the EHR ticketing system; prioritize, track, and resolve user and system issues in a timely
manner.
Troubleshoot system errors, data discrepancies, and workflow issues to minimize operational
disruption.
Develop, build, and maintain forms, assessments, service plans, and documentation tools within the
system.
Identify workflow gaps and implement system or process improvements to enhance efficiency,
usability, and compliance.
Monitor system activity for enrollment, service entry, and documentation accuracy; resolve issues
collaboratively with teams.
Participate in system upgrades, enhancements, and new feature implementations, including testing in
development environments.
Data, Integrations, Training, and Collaboration
Support EHR billing interfaces and troubleshoot data transmission, reconciliation, and integration
issues.
Assist with system integrations and ensure accurate data flow between the EHR and external platforms.
Support data validation, reporting accuracy, and basic analysis to ensure data integrity and usability.
Develop and maintain reports and dashboards to support operational, billing, and quality initiatives.
Develop training materials and provide onboarding and ongoing training to staff.
Collaborate with clinical, billing, and administrative teams to align system functionality with
operational needs.
Serve as a subject matter expert and support change management efforts for system updates and
workflow improvements.
Required Qualifications
Bachelor’s degree in healthcare, information technology, computer science, or a related field (Master’s
preferred).
Minimum of two (2) years of experience working with EHR systems, healthcare IT, or a related role.
Hands-on experience with EHR systems such as Netsmart, Qualifacts/Credible, Therap,
Caseworthy/HMIS, or Epic.
Knowledge of HIPAA, data privacy regulations, and medical record documentation standards.
