Position Summary
We are seeking a highly organized and motivated Medical Office Coordinator to join our practice. This is an exciting opportunity for a professional who is passionate about providing excellent patient care and administrative support. The Medical Office Coordinator is responsible for maintaining the daily administrative operations of the practice while serving as the central support point for staff and assisting the Practice Administrator in fostering an efficient, patient-centered environment.
Key Responsibilities
Administrative & Operational Support
- Support daily administrative operations to ensure smooth, efficient office function
- Serve as a central point of coordination for staff
- Assist the Practice Administrator with operational initiatives and projects
Staff Support & Scheduling
- Lead, train & support all staff
- Create and manage staff schedules, coverage, and PTO requests
- Promote teamwork, accountability, and a positive office culture
- Assist with annual performance evaluations & coaching
Credentialing & Provider Administration
- Maintain provider credentialing, reappointments, and payer enrollment records
- Track and maintain provider licensure, board certifications, DEA registrations, controlled substance licenses, and CME documentation
- Maintain CAQH profiles and complete quarterly attestations
Compliance & Office Management
- Maintain HIPAA and OSHA compliance documentation for staff
- Ensure records are audit-ready and up to date
- Oversee and maintain an organized, professional office environment
- Order and manage office supplies
Patient Experience
- Provide exceptional customer service to patients and families
- Support a patient-centered approach in all interactions and workflows
Qualifications & Skills
- Minimum of 3 years of leadership experience in a medical office setting
- Excellent organizational, time-management, and multitasking skills
- Strong attention to detail and accuracy
- Strong knowledge of medical terminology, insurance processes, and healthcare regulations
- Experience with provider credentialing and compliance requirements
- Familiarity with medical office management and billing software
- Excellent interpersonal and communication skills
- Ability to handle sensitive and confidential information with professionalism
- Ability to work independently while collaborating effectively with a team
- Comfortable working in a fast-paced healthcare environment
- Proficiency in Microsoft Office (Word, Excel, Outlook)
Reporting Structure
This position reports directly to the Practice Administrator.
